Responsibilities:

  • Manage and maintain executives' schedules, appointments, and travel arrangements.
  • Arrange and coordinate meetings and events, including setting up video conferences, organizing venues, and ensuring all necessary equipment and materials are prepared. Special focus on event organization and coordination to ensure smooth execution of all corporate functions.
  • Handle incoming calls and emails, and ensure prompt and effective communication.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • File and retrieve documents and reference materials. Manage documentation organization to maintain an efficient filing system and easy access to critical information.
  • Conduct research, collect and analyze data to prepare reports and documents.
  • Manage and maintain office supplies and equipment; arrange for necessary repairs.
  • Review operating practices and implement improvements where necessary.
  • Act as a liaison with internal staff at all levels and interact with external clients and partners.
  • Handle confidential documents and information with discretion and integrity.

Qualifications:

  • Minimum of 5 years of proven experience as an Executive Assistant, Personal Assistant, or similar role supporting C-level executives.
  • Exceptional organizational and time-management skills.
  • Advanced proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong decision-making ability and attention to detail.
  • Ability to multitask and prioritize daily workload.
  • High level of discretion and confidentiality.
  • Experience in managing multiple calendars and scheduling for executives.
  • Demonstrated ability in event organization and coordination.
  • Strong skills in documentation and organizational systems.
  • Bachelor’s degree in Business Administration or a related field is preferred.
