How You Will Be Spending Your Time

  • Provide comprehensive administrative support to senior executives.
  • Manage complex calendars, including scheduling and coordinating meetings, appointments, and travel arrangements.
  • Handle confidential information with discretion and professionalism.
  • Act as a liaison between executives and internal/external stakeholders, demonstrating strong bilingual communication skills in French and English
  • Draft, edit, and proofread correspondence, reports, and presentations in both languages.
  • Coordinate and execute special projects as assigned.
  • Arrange and coordinate high-level meetings, conferences, and events.
  • Prepare meeting agendas, documents, and follow-up on action items.
  • Prepare travel arrangements with a keen attention to detail, where necessary.
  • Other duties, relevant to the position, shall be assigned as required

Specialized Knowledge, Skills, Attributes Required You Need to be Successful

  • Bachelor's degree or equivalent work experience.
  • Proven experience as an Executive Assistant supporting senior management.
  • Exceptional proficiency in English and French – both written and verbal.
  • Advanced proficiency in Microsoft Office Suite and other relevant tools.
  • Strong organizational and multitasking skills with attention to detail.
  • Ability to handle confidential information with integrity and discretion.
  • Excellent interpersonal and communication skills.
  • Proven ability to work under pressure and meet deadlines

Working Conditions

  • Hybrid
  • Monday to Friday 9am to 5pm, or as per company needs

Comment vous occuperez-vous de votre temps ?

  • Fournir un support administratif complet aux dirigeants.
  • Gérer des calendriers complexes, y compris la programmation et la coordination de réunions, de rendez-vous et d'arrangements de voyage.
  • Traiter les informations confidentielles avec discrétion et professionnalisme.
  • Assurer la liaison entre les cadres et les parties prenantes internes/externes, en faisant preuve de solides compétences en matière de communication bilingue en français et en anglais.
  • Rédiger, réviser et relire la correspondance, les rapports et les présentations dans les deux langues.
  • Coordonner et exécuter les projets spéciaux qui lui sont confiés.
  • Organiser et coordonner des réunions, des conférences et des événements de haut niveau.
  • Préparer les ordres du jour et les documents des réunions et assurer le suivi des mesures à prendre.
  • Préparer les arrangements de voyage en accordant une attention particulière aux détails, le cas échéant.
  • D'autres tâches, en rapport avec le poste, seront assignées selon les besoins.

Connaissances, compétences et qualités spécialisées requises pour réussir

  • Baccalauréat ou expérience professionnelle équivalente.
  • Expérience confirmée en tant qu'assistant de direction auprès de dirigeants.
  • Maîtrise exceptionnelle de l'anglais et du français, tant à l'écrit qu'à l'oral.
  • Maîtrise avancée de la suite Microsoft Office et d'autres outils pertinents.
  • Solides compétences en organisation et en gestion multitâche, avec un grand soin aux détails.
  • Capacité à traiter des informations confidentielles avec intégrité et discrétion.
  • Excellentes compétences en matière de relations interpersonnelles et de communication.
  • Capacité établie à travailler sous pression et à respecter les délais.

Conditions de travail

  • Hybride
  • Du lundi au vendredi de 9h00 à 17h00, ou selon les besoins de l'entreprise
