We are currently looking for a motivated and energetic **Executive Assistant** on a full-time basis to join our growing team in **Montreal**. The Executive Assistant will support the CEO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently.

**Main Responsibilities**:

- Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
- Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals
- Draft, review and send communications on behalf of company executives
- Answer and respond to phone calls, communicate messages and information to the executive
- Maintain various records and documents for company executives
- Communicate and collaborate with different departments internally to optimize process and company activities
- Maintain professionalism and strict confidentiality with all materials
- Organize team communications and plan events, both internal and off-site
- Assist in event organization and teambuilding activities
- Other related tasks.

**Qualifications and Experience**:

- Four or more years of experience in an administrative role reporting directly to upper management
- Ability to meet deadlines in a fast-paced quickly changing environment
- Proficiency in MS Office (Word, Excel and PowerPoint), Google suite, calendar a must
- A proactive approach to problem-solving with strong decision-making skills
- Excellent organization and time-management skills
- Excellent verbal and written communication skills in English and French
- Great research skills, as well as ability to prioritize projects
- Autonomy, foresight, and sense of urgency
- Attention to details and sound business judgment
- Team player with a positive attitude
