Position SummaryThe Finance and Data Administrative Assistant is dedicated to the vision, mission, values and strategic priorities of Hospice Niagara and uses their best efforts to promote the interests of the organization and contribute to a positive culture. The Finance and Data Administrative Assistant performs all duties in a safe manner, and abides by all applicable laws, by-laws, rules and regulations of competent authorities and standards of conduct, including those set forth by Hospice Niagara. Finance and Data Administrative Assistant reports to the Finance Supervisor.The Finance and Data Administrative Assistant works collaboratively with the finance team to complete the key responsibilities list below and other duties as required.The Finance and Data Administrative Assistant performs all duties in a safe and healthy manner, in accordance with Hospice Niagara’s policies and procedures, the Occupational Health and Safety Act, and all other applicable legislation.Key ResponsibilitiesReconcile 5 Car Draw lottery tickets, donations and payments and prepare bank deposits, reconciliation reports and other associated reportingReconcile Catch the Ace lottery tickets and prepare bank reconciliation reports and other associated reportingProvide support for 5 Car Draw Early Bird Draw and 5 Car Draw Final DrawPrepare documents for lottery auditsPrepare 5 Car Draw and Catch the Ace lottery analytics Assisting with organizational statistics, data quality management and analyticsAssist with Audit requestsProvide ongoing support to finance department (payables, filing, other tasks as needed)Demonstrated ability in planning, organizing and prioritizing multiple tasks and meeting deadlines in a busy environment with poise and patience.Provide ongoing support to administration department (customer care, photocopying, filing, answering phone calls, receiving donations, processing mail, other tasks as needed)Answer and forward phones to appropriate staffProvide input into post event reportsRecord funds received accurately into accounting systemReconcile monthly bank statements, revenue, and posted amounts from spreadsheet into the accounting system and bank.Performs regular accounting functions including invoice preparation, collecting funds from agreements/ contracts, follow up as required.Assisting with month end and year end closeAssist with audit supportOther duties, as requiredSkills & AttributesComputer literate in all Microsoft Office applications, especially MS Word and ExcelStrong competence and accuracy in entering, organizing and analyzing dataExperience working with spreadsheets for completing bank deposits/ payments and/or budgetsStrong attention to detailDemonstrated professionalismMost possess a high degree of resourcefulness, attention to detail, adaptability and ability to work effectively with minimal supervision.Highly developed judgment, confidentiality and integrityExperience working with ADP (considered an asset)Ability to manage varying priorities, working under tight timelinesStrong interpersonal skills as well as a strong ability in written and verbal communication skillsWillingness to work flexible hours, including some weekends, evenings and holidays based on organizational needsAccess to a reliable personal vehicle or transportationAcademic, Training, Knowledge & ExperiencePost-secondary degree in Accounting or education emphasis on mathematics, finance, business administration, or related discipline.Minimum of 2 years of experience working in the accounting fieldIn-depth knowledge of financial/accounting processes with particular reference to GAAP and professional ethicsExperience in the public or non-profit sector will be considered an assetExperience in Provincial Healthcare reporting standards will be considered an assetVulnerable Sector Police CheckFundamentals of Palliative Care (preferred, must be completed within 12 months of hire)Mask Fit (must be completed within 12 months of hire)EvaluationOngoing observation and feedbackAnnual performance assessment and discussion; individual development planningPlease note that Hospice Niagara requires that all newly hired employees are to be fully vaccinated against COVID-19 as a condition of being hired and provide proof of full vaccination, or provide proof of a bona fide medical or Human Rights Code exemption on a form issued from and approved by Hospice Niagara.
