**DISCLOSURE & PRIVACY ADMINISTRATOR**

Reporting to the Director of Quality Assurance, Planning Support, & Privacy, the Disclosure Clerk provides support to the agency in producing confidential disclosures, access to confidential Personal Information, and assisting the Privacy Designate as necessary in meeting the agency’s privacy mandate.

**Main Duties and Responsibilities**

**Disclosures, Access to Information & Correction Requests**
- In coverage of the Director of Quality Assurance, Planning Support & Privacy as well as through consultation of Legal Counsel, the Disclosure and Privacy Administrator responds Privacy
- Administers disclosures pertaining to highly sensitive and confidential corporate files, civil litigation, restricted files, law enforcement disclosure requests and other permitted disclosures without consent
- Communicates with requestors to define the scope, requirements, and entitlement of a request
- Obtains all records from the case information system(s), reviews, and redacts records or provisions corrections in accordance with consent, legislative and regulatory requirements, policies and procedures and provincial business harmonization
- Liaises with Child Protection Workers, Child Protection Supervisors and Directors of Service or members of the Senior Leadership Team and Legal Counsel to obtain and confirm information produced for disclosure or correction requests
- Updates case management system data and information regarding disclosure and correction requests
- Administers provision of disclosure documents or corrections administered to requestors
- Respond to non-routine requests and inquiries

**Clerical and Administrative Support**
- Provides clerical and administrative support, including processing of all types of mail, filing and file systems, word processing, spreadsheet and data tracking, data entry and distribution of confidential and sensitive information
- Produces, collages, packages, expedites, and processes documents and files

**Communication & Customer Service**
- Provides effective and timely customer service to all staff and clients and seeks to develop professional working relationships across all sectors as well as with external third parties
- Collaborates with staff across the organization on disclosure and access to personal information needs
- Consults in the development of confidential case management software training as it relates to data quality and data entry

**Team Building**
- Develops professional working relationships with team members
- Actively participates and engages in team and staff meetings, training sessions and other meetings/sessions as required
- Supports the team and works with team members to ensure department and/or agency needs are met
- Seeks to innovate the processing of data, business work flows and systems where opportunities arise
- Works in a manner consistent with and adheres to the requirements/regulations of the Occupational Health and Safety Act, and FACS policy and procedures
- Exemplifies and inspires behaviours, actions and attitudes that are consistent with FACS vision, mission, and values

**Continuous Quality Improvement**
- Seeks to innovate the processing of data, business work flows and systems where opportunities arise
- Provides consultation and support to staff seeking to integrate continuous quality improvement or innovative strategies into processes and systems
- Analyzes for system upgrades or improvements when deficiencies are found
- Maintains a thorough knowledge of child welfare standards and tools as well as Ministry directives, requirements and data definitions
- Assists with training to consumers on Part X, confidential disclosures, and adherence to privacy legislation as required
- Provides backup to the Corporate Digitalization and Archive Administrator position when required

**Other Related Activities**
- Participates in training and events as required by the Director of Quality Assurance, Planning Support, & Privacy
- Identifies individual professional development needs to the supervisor, to ensure that performance is maximized
- Reports to their supervisor any missing or defective parts or equipment which may endanger them or another worker
- Reports any hazard or contravention of the OH&S Act to the supervisor
- Performs other related duties as assigned Disclosure & Privacy Designate

**Knowledge, Education, Experience, Skills and Attributes**

**Qualifications**
- Diploma or Degree from a recognized college or university in the areas of Law Clerk, Records Management or Library Science or a BA in Business, with at least two years’ experience in personal information and records management
- Valid G Driver’s License and access to a reliable motor vehicle with appropriate liability insurance required
