The Opportunity
UTS is looking for a full time Facilities & Events Services professional to support the school’s events and facilities needs. As the Facilities & Events Services Officer you will be reporting to the Director of Facilities & HR Services, and working in close collaboration with the Facilities Services Lead and the Events Services Coordinator to ensure that the needs for the school’s many programs and events are addressed in a timely manner. You will be the first line of contact for the Facilities Department and fulfill the delivery of a wide range of facilities and events based support to staff and students and the Facilities Department, and coordinate catering needs, as well as caretaking and purchasing needs. Your duties will include;
managing and scheduling room bookings for events, and coordination of the majority of facilities purchases, and supplies. performing daily inspections of school and grounds to ensure building is up to safety standards, as well as coordinating minor repairs and ensuring that caretaking addresses school needs as directed; addressing facilities concerns and requests relating to school shows, dances and similar events/functions. Developing and maintaining class inventory, managing and coordinating year end clean-up. Acting as back-up to the Facilities Services Lead and Events Services Coordinator as needed. Handling room/venue set up for school and external events in consultation with the Events Coordinator.Other duties will include; Assisting in room/furniture set-up as required for the school’s program and special events and following up with third party contractors on minor repairs and maintenance issues.
This position requires working late shifts (to midnight) or weekends about 20 times a year, and must be able to lift and carry heavy loads and exercise a high degree of diplomacy and strong commitment to customer service, ensuring positive communication with UTS staff, the University of Toronto, and other stakeholders.
Qualifications
The ideal candidate for this position will be well-balanced, warm, and highly collaborative with strong interpersonal skills and an ability to interact well with students, teachers, and other colleagues, as well as technical staff.
If you are this person, you will have a minimum of three years of experience in the hospitality industry with some event management management experience. You will also have completed a post-secondary diploma, including Food Handling Certification or have the equivalent of education and experience. You will also have:
demonstrated knowledge and experience in Food Safety Regulations at large events, First Aid/CPR, Health and Safety, WHMIS training, Willingness to be trained in Scissor Lift certification (or be willing to be trained).In addition you will demonstrate,
Proficiency in Microsoft Office (Excel, Word and Access.) and skill in using web-based service management systems. Excellent organizational and project management skills. The ability to respond to opportunities, issues, and concerns with diplomacy, a high level of professionalism and a sense of urgency. A strong commitment to customer service, strong command of the English language and strong communication skills. The ability to comfortably lift heavy loads up to 23k, including food trays and other event deliveries; move heavy loads up to 46k; A confident team spirit approach as well as multitasking and problem solving skills. A strong work ethic and positive attitude, as well as tact and courtesy in dealing with people, and the ability to work collaboratively with different stakeholders and resolve conflicts. The ability to work independently and be dependable, and take initiatives, and be assertive in completing tasks, be flexible and handle a variety of activities concurrently;WORKING AT UTS

COMPENSATION
Pay Scale Group & Hiring Zone: This position is a USW unionized position with Pay Band 9 at a start rate of $64, with an annual step progression to a maximum of $82,. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.

All UTS employees are eligible to participate in the University of Toronto’s Joint Membership Club and have access to the University’s library and other amenities.
