**Job Description**:
**What is the Opportunity?**:
The Facility Rentals Event Supervisor reports to the Facility Rentals Manager, and they are responsible for the smooth and efficient operation of event services on the event day for rental and internal event. The role represents the RCM and ensures that client and vendor needs are met with the highest level of customer service and attention to detail, while also ensuring RCM policies and procedures are adhered to. As an Event Supervisor, your main objective is to ensure successful day-of delivery of the event from end to end whilst providing excellent customer service to event clients, their suppliers and guests.

**Main Duties & Responsibilities**:

- Be the key point of contact for event clients on the day of their event, providing a high standard of customer service during set up, event and post-event strike.
- Welcome and liaise with Event Clients during the event and address any day-of requests in the appropriate manner as required.
- Attend to all details required for the event, as laid out on set up checklist, day-of-itinerary and end-of-event checklist.
- Review event details at the start of each shift to ensure a sound knowledge of each event, confirm details with Event Coordinator as required.
- Oversee the full event process from set-up, through to service and pack down.
- Liaise with internal and external suppliers and event staff to ensure smooth and successful event operations. For Events, this may involve meeting and directing event suppliers such as florists, caterers, set up staff. For Concerts, may involve assisting with backstage requirements, Front of House questions day of and assisting with presenter and artist needs, as well as other show-related questions.
- Greet, lead & direct venue suppliers including Security & Cleaners.
- Ensure that RCM Facilities team have set up correctly and arrange for floorplan adjustments as required.
- Track actual event timings and provide a detailed post event reporting including any deviations from planned schedule, as well as reporting any event issues, venue damage, lost property, or items for follow up post-event.
- Understand risk assessments and issues within the workplace and ensure the reporting of any new risks or hazards to the Facility Rentals Manager. Ensuring appropriate reporting in cases of incidents, near misses or accidents in a timely and accurate manner to appropriate onsite Manager.
- Ability to troubleshoot and resolve client, vendor and guest issues in an efficient, professional, and kind manner during the event.
- Assist and guide clients and guests with accessibility and special needs in the absence of Security or Front of House personnel.
- Remain current and up to date with all Health and Safety Procedures, Emergency Preparedness, Fire Safety and Accessibility.
- Communicate and enforce RCM House Rules and policies.
- Monitor noise level, venue temperature, tidiness of the space and address them accordingly with relevant departments.
- Coordinate with Security and provide assistance in case of emergency, as needed.
- Ensure clients and guests overall comfort during the event.
- Provide feedback and ideas to the Facilities Rental Manager to drive improvements in event services.
- Ensure The Royal Conservatory facilities and normal academic and administrative operations are not disrupted by event activities.
- Remain in compliance with all training and safe working procedures.

**Job Requirements**:
**What We're Looking For**:

- Minimum of 2 years experience in event supervision or onsite event execution.
- Available to work evenings, weekends and holidays.
- Experience using MS Office Suite.
- Excellent written and verbal communication skills.
- Creative problem-solving skills.
- Professional, empathetic and patient.
- Ability to remain calm and behave professionally in stressful situations.
- Ability to prioritize tasks effectively and manage several important tasks simultaneously.
- Strong customer service and interpersonal communication skills.
- Attention to detail.
- Comfortable with a wide and diverse range of communication styles and personality types, from vendors, facility set up staff and RCM full and part time staff, to guests and artists.
- Experience in performing arts venue or an events venue would be an asset.
- Experience in catering and hospitality services would be an asset.
- Smart Serve Certification would be an asset.

**Hourly Rate**:

- $23.60 per hour.

**Additional Information**:

- It is anticipated that the schedule will vary and encompass a range of timeframes including late evenings, weekends, and holidays.
- Extended periods on your feet/standing.
