 Reporting to the Associate Dean, the incumbent is responsible for a wide range of administrative duties related to academic planning for fulltime programs under the academic portfolio including the SWF/loading/scheduling process, the budget process, data management and interacting with students, staff, and others external to the college. Specific duties include, but are not limited to:

• Ensuring that the curriculum is verified in Banner Student Information System so that registration and scheduling is possible
• Assisting the Dean/Associate Dean and coordinators in forecasting enrolment
• Planning and recommending number and size of sections for coming academic year considering blending combinations, cross-program shared courses, and lecture/labs linkages for full time and part time courses
• Producing annual workload assignment request package for faculty to complete
• Compiling assignment request information to draft workload assignments for full-time faculty for the Associate Dean’s approval; producing SWF’s for workloads approved by the Associate Dean
• Providing names of faculty who require additional training to the Associate Dean, in order to meet future course delivery needs and liaising with the appropriate partners to provide information as directed by the Associate Dean
• Monitoring and tracking student admissions, confirmations and paid numbers each term
• Providing detailed information to Scheduling on how courses are to be scheduled; coordinating the sharing of sections between multiple programs and departments; coordinating the submission of timetable parameters; resolving timetable problems with the scheduler; reviewing, correcting and finalizing timetables; and resolving scheduling conflicts
• Creating course CRNs for part time studies courses as requested by the Associate Dean
• Assisting Coordinators/Registrar staff with registration issues (i.e. Course overrides, changes to section maximums, etc.)
• Preparing detailed analysis of the non-full-time faculty costs annually and by semester; recommending nft budget to the Associate Dean; submitting final nft budget as per required format; adjusting if enrolment information causes changes to the nft budget
• Monitoring cost centres as requested by the Dean/Associate Dean, producing summary reports, identifying issues, and recommending solutions
• Assisting in the development of the annual budgets, tracking changes, and preparing for budget review monitoring salary budgets, submits salary reallocations and requests aligned with complementary time activities (including research, course downloads, projects, etc.)
• Creating reports for the Dean /Associate Dean or other managers by compiling information for specific purposes
• Coordinating the submission of all required documentation for new hires, transfers, terminations, leaves, retirements, etc. to HR and Payroll

Qualifications:
• Successfully completed a three-year postsecondary diploma/degree in Business, Office Administration, or a related field
• A minimum of five years’ experience in an office environment monitoring/tracking budgets and financial information, analyzing and compiling data, producing/generating reports, and providing administrative support to a diverse group
• Advanced level of computer skills, and experience in database/information management using Microsoft Office Suite (i.e. Excel, Access)
• Demonstrated communication (written and oral) and interpersonal skills to respond to inquiries and provide guidance and / or assistance to others 
• Demonstrated organizational and planning skills with the ability to be flexible and multitask to meet conflicting deadlines
• Proven ability to design / re-design and implement tracking, analysis, and reporting mechanisms for on-going financial performance monitoring
• Demonstrated conflict resolution and problem-solving skills with the ability to make day-to-day decisions as required
• Experience in an academic environment working with a student and / or financial information system (preferably Banner or PeopleSoft) are assets
