The next iteration of our integrated approach relates to the planned export of our natural gas to markets in growing economies overseas. To achieve this aim, PCE will supply B.C.’s proposed Woodfibre LNG project, which will liquefy the natural gas and load it into vessels. The natural gas will be shipped to help supply a growing demand for cleaner sources of energy in Asia.

THE POSITION

PCE is seeking a Document Management Coordinator to become a key member of the Pacific Canbriam team. Supporting all documentation, collaboration and information governance activities across the company, the successful individual will bring their professionalism, energy, and enthusiasm to deliver excellent results in a fast paced, fluid, and demanding work environment. This role is based in the Calgary head office. Reporting to the Manager, Information Technology, this position will be responsible for day-to-day document management activities for all departments within the Company. Knowledge of and experience with document management, information governance, and leveraging O365 to support business document activities is required.

Key Responsibilities

Work closely with all departments to ensure that they achieve maximum efficiency in document handling, collaborating, and sharing. Develop and update standard electronic categorization systems for well, facility, and other critical asset documents to ensure conformity of current and historical records. Manage these collections within a central repository to facilitate their effective use across the organization. Maintain and implement information policies, document retention and tracking system which ensures that all relevant documents, correspondence, well and facility files are logged, retained, and responded to as appropriate. Identify, categorize, and code documents, perform quality control checks as needed. Drive the digital transformation of hard copy files to electronic format and ensure appropriate controls and compliance with the Company Retention Schedule. Develop a procedure to track physical files when they are removed for review by employees. Manage offsite storage of hard copies (both retrieval and archiving). Responsible for intake/transfer of documents and data for any acquisitions and/or divestitures, ensuring appropriate chain of custody and tracking records are created/maintained. Facilitate submission of documents to regulatory bodies (i.e. BCER). Process, distribute and maintain controlled documents and access using the EDMS. Conduct and assist with periodic audits on documents, files systems and databases.

THE INDIVIDUAL

About You

Experienced with document control processes, information and records management, and the implementation of document lifecycle procedures. Familiar with industry standards for document management and retention. Proficient in managing SharePoint environments, including site setup, permissions management, workflow creation, and content organization. Able to develop categorization systems, track document flows, and manage large volumes of data efficiently. Knowledgeable in regulatory requirements related to document management in the oil & gas sector, including the submission of documents to regulatory bodies. Possess a keen attention to detail, set and meet multiple deadlines and not mind performing repeated and routine tasks. Have a positive, customer-service oriented attitude and desire to contribute to and collaborate with a high performing team. Creative thinker with the ability to analyze and troubleshoot complex problems and make sound decisions. Provide excellent verbal and written communication skills, able to work effectively across departments and all levels of the organization. Comfortable providing training and support to users on document management practices and systems. Write clear and well-structured business requirements and documentation while bridging the gap between technology and business needs. Able to evaluate business processes and provide recommendations for process improvements, automation, and standardization. Adaptable to new challenges and changes in priorities quickly. Open to learning new technologies and methodologies to improve document management processes. Effective at building relationships across departments and with team members at all levels. Capable of working harmoniously with a diverse range of personalities and professional backgrounds. A meticulous approach to managing documents, ensuring accuracy, compliance, and thoroughness in all aspects of document control and record-keeping.

Qualifications

Undergraduate degree or diploma in a related field such as business administration or information science. Minimum of 5 years of experience in document management, ideally within the Upstream sector of the Oil & Gas industry. Experience configuring and deploying O365 Team Sites and SharePoint sites. Have an inquisitive mind and enjoy digging into and understanding both paper and digital information. Excellent computer systems skills with the ability to learn new systems, procedures, and processes quickly. Solid understanding of various oil and gas disciplines, terminology, documents and drawing types.
