Executive Assistant

Robert Half is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our client. This is a full-time permanent position based in the Mississauga, ON. The Executive Assistant will be responsible for managing a wide range of administrative tasks, from complex scheduling and travel coordination to strategic project support and stakeholder communications. This role requires exceptional communication skills, professionalism, discretion, and the ability to anticipate needs in a fast-paced environment.
-Serve as a trusted partner to the COO and CEO, anticipating needs and providing proactive administrative support to maximize productivity.
-Organize and oversee the executive’s calendar, scheduling appointments and meetings with a focus on optimizing time and ensuring smooth transitions between engagements.
-Coordinate comprehensive travel itineraries, managing all aspects of domestic and international travel, including flights, accommodations, and logistics.
-Act as a primary point of contact for internal and external stakeholders, handling phone calls, emails, and other correspondence with professionalism and discretion.
-Prepare, edit, and distribute presentations, reports, and other key documents to support executive activities and decision-making.
-Provide support on special projects, tracking deliverables and ensuring deadlines are met to help advance organizational goals.
-Organize executive-level meetings, offsites, and team-building activities, handling details to ensure events run smoothly and meet objectives.
-Track and reconcile expenses, assist with financial reporting, and manage budgets as required.
-Conduct research and prepare concise summaries or briefs on relevant topics to inform the executive’s decisions.
-Maintain a high level of confidentiality and handle sensitive information with discretion, consistently upholding privacy standards.
-At least 5 years of experience in an Executive Assistant or similar support role for senior-level executives.
-Exceptional organizational and time-management skills, with the ability to prioritize tasks and handle multiple responsibilities efficiently in a fast-paced environment.
-Strong verbal and written communication skills, with a professional, confident demeanor when interacting with executives, team members, and external contacts.
-Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and comfortable using collaboration tools such as Google Workspace, Slack, and Asana.
-High attention to detail and accuracy, particularly when preparing and reviewing documents or managing schedules.
-Proactive and resourceful in identifying solutions, with a demonstrated ability to troubleshoot challenges and adapt to changing priorities.
-Reliable and trustworthy in managing sensitive information and maintaining confidentiality at all times.
