Executive Assistant

Executive Assistant ensures overall coordination and delivery of administrative support to the President and CEO and Chief Operations Officer. This includes overseeing critical administrative corporate deliverables required by the CEO and COO, ensuring the provision of prompt, accurate, and coordinated services. The Executive Assistant will be required to regularly interact with all areas of the Kia business units and the Senior Leadership Team and provide ongoing assistance, as required.
**Responsibilities**
- Provides administrative support for the Executive Office including but not limited to; responding to correspondence, developing presentations and reports, managing information routed through the office, tracking of correspondence, and proof-reading material prepared by others for accuracy in content and grammar.
- Ensures confidentiality of sensitive materials and information that comes through the Executive Office are managed effectively, anticipating, and resolving issues, proposing solutions, and alerting the Executives of urgent or sensitive matters and issues as appropriate.
- Manages the calendar and schedule of the CEO and COO including booking appointments, determining appointment/meeting request priorities, rescheduling meetings as required, ensuring the Executives are kept apprised of all scheduled appointments, and preparing meeting files and relevant materials for meetings/presentations.
- Attends meetings to take and prepare minutes when required.
- Reviews incoming correspondence and ensures significant items are brought to the attention of the CEO and COO. Forwards material to appropriate area for action if necessary.
- Acts as the Executive liaison to the CEO which requires fluent knowledge of both English and Korean, both written and oral communication
- Other accountabilities as required.
**Skills / Knowledge / Experience / Education Required**
- College diploma in Office Administration or Executive Administrative Assistant, or equivalent work experience.
- 2 - 4 years experience in providing senior level administrative services and support within a highly demanding work environment with expertise in prioritizing and managing competing priorities and deadlines.
- Knowledge of office protocols and administrative practices.
- Fluent oral and written communication in both English and Korean
- Demonstrated ability to handle confidential information with professionalism and discretion.
- High proficiency in MS Office Suite
- Problem solving skills to manage conflicts with meeting scheduling and ensure optimum use of the Executive Office’s time.
- High-level interpersonal and customer service skills to interact with staff at all levels of the organization as well as external stakeholders.
- Proven ability to multitask and manage priorities accordingly.
