Job Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong leadership skills, excellent communication abilities, and extensive experience in office administration. This role involves managing administrative tasks, supervising staff, coordinating vendor relationships, and supporting various departments to achieve operational excellence. Experience in medical office management, bookkeeping, and human resources is highly desirable. The Office Manager will play a pivotal role in fostering a productive workplace and maintaining efficient office procedures.
Duties
- Oversee daily office operations, including front desk management and multi-line phone systems
- Manage calendar scheduling, appointment setting, and event planning for staff and company events
- Supervise administrative staff, providing training & development to enhance team performance
- Handle vendor management, including negotiating contracts and maintaining supplier relationships
- Maintain filing systems and ensure proper document organization for easy retrieval
- Coordinate human resources functions such as employee onboarding, record keeping, and compliance
- Manage office supplies inventory and procurement processes
- Ensure effective communication across departments through clear phone etiquette and organizational skills
- Support medical office management (if applicable), including patient scheduling and record maintenance
- Assist with special projects related to office improvement initiatives
Qualifications
- Proven experience in office management or administrative roles with supervisory responsibilities
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent communication skills, both verbal and written
- Proficiency in QuickBooks, calendar management tools, and multi-line phone systems
- Experience with event planning, vendor management, budgeting, bookkeeping, and payroll processing
- Background in human resources or medical office management is a plus
- Demonstrated leadership abilities with team management experience
- Exceptional clerical skills including filing, data entry, and front desk operations
- Ability to handle confidential information discreetly and professionally
- Strong problem-solving skills with attention to detail and accuracy

Pay: $70,000.00-$80,000.00 per year
