We are seeking a Medical Office Assistant (MOA) to support our team of healthcare practitioners and ensure the smooth daily operation of the clinic especially on this busy season.

Key Responsibilities

Clinic & Client Administration

· Manage Front Desk operations

  • Maintain accurate and confidential patient records
  • Regularly update and audit client files for completeness and accuracy
  • Ensure timely completion of digital intake and consent forms using JaneApp

Customer Service

  • Welcome clients warmly and professionally in person and by phone
  • Schedule and reschedule appointments in alignment with treatment plans
  • Manage client inquiries, appointment confirmations, and follow-ups via calls and emails
  • Promote clinic services and support our online reputation by encouraging client reviews

Scheduling & Administrative Support

  • Efficiently manage appointment calendars and update patient files
  • Complete daily documentation for both new and returning clients
  • Prepare treatment rooms, maintain supplies, and support general clinic operations
  • Responsible for clinic opening and closing procedures (availability for both required)

Billing & Insurance

  • Process insurance claims and verify client benefits coverage
  • Address billing questions and resolve payment-related concerns
  • Generate, reconcile, and close out daily financial transactions
  • Ensure all billing records are accurately entered into the system at shift end

Clinic Maintenance

  • Maintain cleanliness and organization in reception, treatment rooms, and shared areas
  • Assist with laundry—washing, folding, and stocking linens for practitioners
  • Collaborate with the team to ensure a smooth, efficient work environment

Marketing Support

  • Support in-clinic promotions and marketing efforts
  • Encourage patients to share feedback and leave online reviews

Hours & Compensation

  • Training Schedule: 15–24 hours/week during the first two weeks
  • Post-Training: Up to 35–40 hours/week based on clinic needs
  • Training Rate: $18.50/hour
  • Post-Probation Rate: $20.00/hour (after 3-month probation)
  • Benefits: Eligibility for Extended Health Care (EHC) after 3 months
  • Potential for wage increase after probation

Requirements

  • Availability for weekend shifts
  • Must be able to arrive 1 hour before opening or stay until closing, depending on the shift
  • Only shortlisted candidates will be contacted for interviews

Qualifications

  • Education: Secondary School Diploma (preferred)
  • Experience:
  • Minimum 1 year in a medical administrative or customer service role (preferred)
  • Familiarity with JaneApp is an asset
  • Excellent organizational and communication skills
  • Friendly, empathetic demeanor with the ability to multitask in a fast-paced environment
