Job Overview

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team. This role is essential in supporting daily office operations, managing administrative tasks, and ensuring smooth communication across departments. The ideal candidate will possess strong computer skills, excellent organizational abilities, and experience in clerical and customer service functions. This position offers an opportunity to contribute to a professional environment while developing your administrative expertise.

Responsibilities

  • Manage front desk operations, including greeting visitors and answering multi-line phone systems with professional phone etiquette
  • Keep track of staff availabilities to take appropriate measures (ie: taking a message, transferring to a backup person etc..) and avoid redirecting customers/vendors who will get a mailbox, busy signal or no answer.
  • Courier responsibilities for document and office supplies – sending, tracking, receiving, and delivered.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Printing shipping documents for customers & internal teams, and ensuring they are sent to correct parties.
  • Responsible to maintain the upkeep of the common areas in the office (ie: bathroom, kitchen) either directly, or indirectly by coordinating with appropriate person responsible to perform the maintenance.
  • Responsible for office supplies inventory and proactive ordering of these supplies to ensure office is always well stocked.

Qualifications

  • Bilingual (English & French) – Strong written and verbal Skills. Must be comfortable answering the phones in both languages
  • Proven experience in office administration or clerical roles
  • Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat suite
  • Excellent organizational skills with attention to detail and accuracy in data entry and proofreading
  • Demonstrated ability to manage filing systems
  • Strong organizational skills combined with the ability to prioritize tasks effectively
