Subcontract Position - ESW Building Services Inc.
ESW Building Services Inc. is looking for a proactive **Project Administration Coordinator** to support and streamline workflows across our construction and renovation projects. This role is ideal for someone who thrives in a fast-paced environment, is detail-driven, and enjoys balancing organization with problem-solving. You’ll play a key part in coordinating with internal teams, trades, vendors, and stakeholders while ensuring projects move forward smoothly.
**Key Responsibilities**
- Support daily project operations, including scheduling, budget tracking, and documentation management.
- Monitor project progress using tools such as Jira and Kanban, updating timelines and ensuring milestones are met.
- Gather and analyze project data, preparing reports to aid in decision-making and risk management.
- Act as the communication link between office staff, trades, vendors, and external partners to keep tasks aligned.
- Provide regular updates to leadership, flagging risks or challenges for timely resolution.
- Ensure compliance with on-site notices, safety standards, and project regulations.
- Coordinate attendance of trades, confirming task completion and organizing follow-ups when needed.
- Prepare, print, and maintain accurate documentation and project records.
**Qualifications & Skills**
- Previous experience in operations, project coordination, or administration.
- Background in construction or renovation is a required.
- Exceptional organizational skills with the ability to manage multiple priorities.
- Strong attention to detail and confidence in data tracking/reporting.
- Professional communication skills, both written and verbal.
- Ability to collaborate effectively with diverse teams and manage vendor relations.
- Familiarity with project management tools and methods.
