Job Summary

We are seeking a detail-oriented and organized Office Administrator to support our administrative and financial operations. The ideal candidate will be proficient in accounting software such as QuickBooks, Sage, or Xero, with a strong background in bookkeeping, payroll, and account reconciliation. This role is essential for maintaining accurate financial records, managing accounts payable and receivable, and ensuring smooth office functions. The Office Administrator will play a key role in supporting budgeting processes and financial analysis to help drive informed business decisions.

Responsibilities

  • Manage day-to-day bookkeeping tasks using accounting software including QuickBooks, Sage, or Xero
  • Process payroll accurately and on schedule
  • Handle accounts payable and accounts receivable functions
  • Perform account reconciliation and bank reconciliation to ensure financial accuracy
  • Conduct account analysis to identify discrepancies or irregularities
  • Assist in budgeting activities and financial forecasting
  • Maintain organized records of financial transactions and documentation
  • Support administrative duties such as filing, correspondence, and scheduling
  • Prepare financial reports for management review
  • Ensure compliance with company policies and accounting standards

Qualifications

  • Proven experience with accounting software such as QuickBooks, Sage, or Xero
  • Strong knowledge of accounting principles, bookkeeping, payroll processing, and account reconciliation
  • Familiarity with accounts payable/receivable processes and bank reconciliation procedures
  • Ability to perform account analysis and support budgeting activities
  • Excellent organizational skills with attention to detail
  • Strong communication skills and ability to work independently or as part of a team
  • Prior experience in office administration or related roles preferred but not required
  • Ability to adapt to new software tools and maintain high levels of accuracy in data entry and record keeping

Job Type: Full-time

Pay: $47,484.38-$50,846.11 per year
