We are looking for a detail-oriented and proactive Bookkeeper / Office Administrator to support our accounting processes and daily office operations. Position Overview

The Bookkeeper / Office Administrator will be responsible for managing invoicing, accounts payable, expense tracking, employee hours, and ensuring smooth day-to-day office coordination. This role requires strong attention to detail, excellent communication, and the ability to stay on top of multiple priorities.

Key Responsibilities

Accounting & Bookkeeping

  • Prepare and issue invoices accurately and on time
  • Track accounts receivable and follow up on outstanding payments
  • Manage accounts payable and vendor payments
  • Track expenses for individual projects and ensure proper documentation
  • Assist with payroll preparation by collecting and verifying employee hours
  • Maintain organized financial records and support month-end reporting

Office Administration

  • Assist with daily office operations and general administration
  • Answer phone calls and direct inquiries professionally
  • Maintain office supplies and coordinate with vendors
  • Assist management with scheduling, follow-ups, and internal communications
  • Support coordination between employees, contractors, and management
  • Organize documents, contracts, and project-related files

Requirements

  • Previous experience as a Bookkeeper, Accounting Clerk, Office Administrator, or similar role
  • Strong understanding of invoicing, A/R, A/P, and basic accounting principles
  • Experience working with accounting or ERP software QuickBooks
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Ability to work independently and as part of a team
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
