We are looking for a detail-oriented and proactive Bookkeeper / Office Administrator to support our accounting processes and daily office operations. Position Overview
The Bookkeeper / Office Administrator will be responsible for managing invoicing, accounts payable, expense tracking, employee hours, and ensuring smooth day-to-day office coordination. This role requires strong attention to detail, excellent communication, and the ability to stay on top of multiple priorities.
Key Responsibilities
Accounting & Bookkeeping
- Prepare and issue invoices accurately and on time
- Track accounts receivable and follow up on outstanding payments
- Manage accounts payable and vendor payments
- Track expenses for individual projects and ensure proper documentation
- Assist with payroll preparation by collecting and verifying employee hours
- Maintain organized financial records and support month-end reporting
Office Administration
- Assist with daily office operations and general administration
- Answer phone calls and direct inquiries professionally
- Maintain office supplies and coordinate with vendors
- Assist management with scheduling, follow-ups, and internal communications
- Support coordination between employees, contractors, and management
- Organize documents, contracts, and project-related files
Requirements
- Previous experience as a Bookkeeper, Accounting Clerk, Office Administrator, or similar role
- Strong understanding of invoicing, A/R, A/P, and basic accounting principles
- Experience working with accounting or ERP software QuickBooks
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Ability to work independently and as part of a team
- Proficiency in Microsoft Office (Excel, Word, Outlook)
