Real Estate Executive Assistant

Job Summary
We are seeking a highly organized and detail-oriented Executive Real Estate Assistant to support our real estate team. This role involves managing administrative tasks, coordinating schedules, implementing new marketing strategies, and providing exceptional customer service to clients. The ideal candidate will have strong clerical skills, proficiency with office software, and excellent communication abilities to ensure smooth operations within a fast-paced real estate environment.
Responsibilities
- Proofread contracts, listings, and marketing materials for accuracy and professionalism
- Write property listings descriptions and upload property listings
- Create new processes to implement into the Realtor's day-to-day business practices
- Coordinate with clients, agents, and vendors to schedule appointments and follow-ups
- Maintain organized records of transactions, listings, and client information
- Implement new marketing campaigns including digital & print
- Learn and implement new programs including Lofty, Pillar 9, Basecamp, Loom, Dotloop
- Create, schedule, and manage social media content and calendar on all platforms including instagram, facebook, LinkedIn, and YouTube
- Email management and communication
- Manage and maintain the Microsoft Outlook Calendar for appointments and showings
- Assist with data entry, filing, and document management
- Create content for monthly newsletter and social media
- Assist in planning and executing client events
- Assist in picking up / dropping off various real estate items including lockboxes, print materials, open house signs, and keys
- Shows initiative to introduce innovative ideas and fresh perspectives to enhance business operations
Experience
- Previous real estate experience in an administrative role preferred
- Previous administrative role preferred
- Proficient using Lofty, Pillar 9, Basecamp, Loom, or Dotloop a bonus
- Proven capacity to bring creative, forward-thinking ideas and a fresh outlook to business operations
- Proficiency with Microsoft Office Suite (Word, Excel)
- Experience working with a CRM and more specifically, Lofty, a plus
- Strong organizational skills with the ability to multitask efficiently in a busy environment
- Excellent typing speed and data entry skills
- Familiarity with Dotloop / DocuSign, or electronic signature platforms is advantageous
- Exceptional customer service skills with professional email and phone etiquette
- Proficient using social media platforms and microsoft outlook a must

Pay: $50,000.00-$70,000.00 per year
