Position Summary:

Reporting to the Office Services Lead, the Receptionist and Office Services Assistant provide daily reception coverage and general administrative support to Concert Properties' office in downtown Vancouver.  This position works closely with the Receptionist, Executive Assistant and Senior Manager, Executive Operations to ensure smooth office operations and exceptional workplace experience.

Note this is a 12 months contract position to cover a maternity leave. 

What you'll be doing: 

Office Services

  • Conduct daily walk-arounds; proactively order, stock, organize and maintain all common office areas; ensure the office presents a professional appearance at all times
  • Maintain main kitchen and ensure all kitchen duties across all floors are completed, coordinating with appropriate teams as needed
  • Manage basic maintenance of office equipment and place maintenance requests with vendors and building management as required
  • Provide coverage and support to the Office Services Lead, including acting as onsite coordinator for service providers when required
  • Work in partnership with the Office Services Team to plan and execute various office initiatives, social events and special projects
  • Assist in preparing offices, workstations and welcome packages for new hires
  • Provide records management support of document shredding, storage and retrieval
  • Provide general administration and clerical support to other departments as required

Relief Reception Coverage

  • Answer incoming calls and address as necessary
  • Receive incoming customer service requests by phone and email and complete the online request form
  • Greet visitors and announce them to the appropriate individuals
  • Monitor visitor access and maintain security awareness
  • Efficiently manage and distribute all incoming and outgoing documents, packages and courier requests in a timely manner.
  • Sort, open, date and distribute incoming correspondence as per specific instructions
  • Maintain and monitor Reception email account and distribute as required
  • Provide refreshments for meetings and guests as required

Key requirements: 

  • 3+ years of previous administrative work experience in a professional office environment
  • Friendly and personable with strong verbal and written communication skills
  • Ability to build and maintain effective relationships with colleagues and suppliers
  • Possess a high level of integrity and understand the importance of confidentiality
  • Strong organizational and time management skills
  • An adaptable, self-starter with strong attention to detail
  • Punctual, reliable and professional
  • Proficiency in Microsoft Office Suite (e.g. Outlook, Teams, Word, Excel, PowerPoint)
  • Ability to lift 10kg for short distances
