We are a busy, fast-paced towing company providing reliable towing, recovery, and vehicle storage services. Our team is committed to exceptional customer service, professionalism, and efficiency. We're currently seeking a dedicated Office Administrator/Dispatcher to join our team and help keep our operations running smoothly.
Position Overview:
The Office Administrator/Dispatcher is responsible for managing daily administrative and dispatching duties in a high-energy environment. This role involves handling incoming service calls, coordinating the dispatch of tow trucks, invoicing customers, posting expenses, and communicating with customers, insurance companies, and law enforcement agencies regarding vehicle storage and releases.
Key Responsibilities:
- Dispatching:
- Answer incoming calls and dispatch tow trucks efficiently based on service needs and driver availability.
- Communicate clearly with drivers and customers to ensure accurate and timely service.
Administrative & Accounting Duties:
- Prepare and send invoices to customers and insurance companies.
- Record and post daily expenses, receipts, and payments using QuickBooks.
- Maintain accurate records of towed and stored vehicles.
Customer & Agency Relations:
- Handle phone and in-person inquiries from customers, insurance adjusters, and law enforcement.
- Coordinate the release of impounded or stored vehicles in compliance with regulations and company policy.
- Provide excellent customer service and maintain a professional demeanor at all times.
- General Office Management:
- Manage paperwork, filing, and data entry to keep office operations organized and efficient.
- Assist with daily operational reporting and other administrative tasks as needed.
- Support management in implementing new systems or procedures to improve workflow.
Qualifications & Skills:
- Previous experience in dispatching, administration, or a similar role—preferably in the towing or transportation industry.
- Proficiency with QuickBooks, Microsoft Excel, and Microsoft Word (required).
- Strong multitasking and organizational skills in a fast-paced environment.
- Excellent communication and problem-solving abilities.
- Professional phone etiquette and a customer-first attitude.
- Ability to work independently and as part of a team.
- Reliable, punctual, and detail-oriented.
Training & Development:
- In-house training will be provided for our tow dispatch software and internal procedures.
Job Type: Full-time
Pay: $1,000.00-$1,350.00 per week
