Job Overview

We are seeking a detail-oriented and organized Rental/Service Coordinator to join our team. This role is essential to the smooth operation of our rental and logistics processes, ensuring that equipment and vehicles are efficiently scheduled, dispatched, and tracked. The ideal candidate will have strong communication and multitasking skills, and a background in logistics, dispatching, or equipment rentals is a plus.

Responsibilities

  • Coordinate the scheduling of rental equipment or vehicles.
  • Communicate with customers to confirm rental requirements, delivery/pick-up times, and address any changes or issues.
  • Work closely with drivers, operators, and field staff to ensure timely and accurate delivery.
  • Maintain accurate records of rentals, including contracts, delivery notes, and maintenance logs.
  • Monitor equipment availability and proactively manage rental inventory.
  • Assist in resolving service or delivery issues promptly and professionally.
  • Coordinate with the maintenance department to ensure all equipment is safe, clean, and operational before dispatch.
  • Prepare rental quotes, contracts, and invoices as needed.
  • Maintain accurate data entry in rental management software systems.
  • Uphold customer service standards and professionally represent the company at all times.

Skills

  • Strong communication skills, both verbal and written, to effectively interact with customers and team members.
  • Excellent data entry skills with attention to detail for accurate record keeping.
  • Knowledge of supply chain processes as they relate to rental management.

Qualifications:

  • High school diploma or equivalent (Associate degree or relevant certification preferred).
  • Previous experience in a dispatch, logistics, or rental coordination role is preferred.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Proficient with computers and experience with rental management software.
  • Ability to handle multiple tasks in a fast-paced environment.
  • Knowledge of equipment or vehicle types (construction, industrial, etc.) is an asset.
  • Customer service mindset with problem-solving capabilities.

Working Conditions:

  • Office-based with frequent communication via phone, email, and dispatch systems.
  • Standard business hours, with occasional extended hours depending on operational needs.
