Role Description
This is a full-time hybrid role for an Administrative Assistant based in North York, ON. The position combines on-site work with the flexibility to work from home when necessary. The Administrative Assistant will manage scheduling, organize meetings, maintain records, handle clerical duties, and provide executive support. Additional responsibilities include answering and directing phone calls professionally, collaborating with team members, and ensuring efficient daily operations of the office.
Academic & Office Support
• Provide administrative support to faculty and department leadership
• Assist with preparation of academic materials, syllabi, course packets, and student handouts
• Maintain office supplies, equipment, and vendor communications
Student & Faculty Assistance
• Serve as the first point of contact for students and visitors
• Answer student inquiries regarding schedules, forms, academic processes, and campus resources
• Support faculty with classroom scheduling, printing, and administrative tasks
Calendar & Communication Management
• Manage department calendars, meetings, and academic events
• Draft and distribute memos, announcements, and email communications
• Coordinate appointments for faculty and departmental leadership
Data & Records Management
• Maintain confidential student and faculty records
• Update student information, attendance logs, and departmental databases
• Assist with data entry, reporting, and compliance documentation
Event & Scheduling Coordination
• Organize departmental events, student orientations, workshops, and faculty meetings
• Coordinate room bookings and prepare meeting materials
• Assist with travel arrangements for faculty and guest speakers
General Administrative Duties
• Handle incoming phone calls, emails, and walk-in inquiries
• Organize and file documents, both digital and physical
• Support departmental projects and other duties as assigned
Qualifications
- Skills in Administrative Assistance and Executive Administrative Assistance, with a strong ability to handle scheduling, document management, and executive support tasks
- Proficiency in Phone Etiquette and Communication to handle inquiries, manage calls, and professionally represent the organization
- Competence in Clerical Skills, including data entry, filing, and the use of office software
- Proactive problem-solving skills and attention to detail
- Strong organizational and multitasking abilities
- Experience working in a similar role is preferred
- High school diploma or equivalent (post-secondary education in Business Administration or related field is an asset)
