We are a reputable real estate appraisal company based in Toronto seeking an experienced, professional, and highly motivated
Administrative Assistant
to join our growing team. This role is ideal for a detail-oriented individual who thrives in a fast-paced environment, enjoys interacting with clients, and demonstrates strong organizational and communication skills.
The successful candidate will play a key role in supporting daily office operations, strengthening client relationships, and ensuring the smooth flow of administrative and communication processes.
Key Responsibilities
- Answer and manage incoming phone calls with professionalism, accurately recording client requests and providing appropriate follow-up.
- Update and maintain the CRM system, ensuring all client information is current and properly documented.
- Coordinate client communications via phone, email, and text in a timely and courteous manner.
- Review and proofread real estate appraisal reports before submission to ensure quality, accuracy, and consistency.
- Prepare, manage, and organize documents, including filing, archiving, and digital record-keeping.
- Maintain client records in QuickBooks and prepare invoices with precision.
- Create engaging and professional social media posts while respecting and enhancing the company's brand identity.
- Assist with general office administration and provide support to the appraisal team as required.
- Handle confidential information with discretion and maintain the highest level of discretion and professionalism at all times.
Job Requirements
- Native or near-native fluency in English, both written and spoken.
- Strong verbal and written communication skills.
- Excellent organizational abilities with the capacity to prioritize tasks effectively.
- Detail-oriented with a professional demeanor.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and social media/post-generating.
- Comfortable working independently as well as collaboratively with a team.
- An engaging personality, eager to learn, and proactive in taking initiative.
- Experience in administration and social media is a distinct advantage.
- Ability to perform light physical duties (e.g., standing intermittently, lifting up to 10 lbs).
- Reliable commuting capability to our Toronto office location.
Work Schedule & Compensation
- Approximately
37.5 hours per week - Competitive compensation based on experience:
$20 – $28 per hour
