Position Summary
The Office Administrator will be responsible for managing day-to-day administrative tasks, ensuring smooth office operations, and supporting HR, safety, and compliance functions. This role requires strong organizational skills, attention to detail, and the ability to handle multiple priorities in a fast-paced environment.
Key Responsibilities
- Administrative Support
- Manage incoming calls, emails, and correspondence.
- Maintain office supplies inventory and place orders as needed.
- Organize and maintain filing systems (physical and digital).
- Prepare reports, presentations, and documentation as required.
- HR & Compliance Assistance
- Assist with onboarding documentation and employee record management.
- Support HRMS data entry and updates.
- Coordinate training schedules and maintain compliance records.
- Ensure confidentiality of employee information.
- Safety & Operations Coordination
- Assist in maintaining safety documentation and certifications.
- Support dispatch and operations teams with administrative tasks.
- Track and update driver compliance records (TDG, WHMIS, etc.).
- Customer & Vendor Communication
- Respond to inquiries professionally and promptly.
- Coordinate with vendors for office-related services and supplies.
Qualifications
- Minimum 2 years of experience in office administration or related role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with HRMS or similar systems is an asset.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Knowledge of transportation or logistics industry is an advantage.
- Bilingual (English/French or English/Spanish) is an asset.
Working Conditions
- Full-time, on-site role based in Acton, ON.
- Monday to Friday schedule; occasional flexibility may be required.
- Collaborative and fast-paced environment.
Job Type: Full-time
Pay: $30.00-$37.00 per hour
Expected hours: 40 per week
