**JOB OVERVIEW: Administrative Coordinator, Future Students Office**
The Administrative Coordinator is responsible for the planning, development and implementation of ongoing and new operations and initiatives as set out by the Assistant Registrar and within domestic recruitment. The incumbent works closely with the Assistant Registrar, Domestic Recruitment to meet the department’s strategic direction and to advance and support KPU’s Vision and Academic Plan.
The FSO Administrative Coordinator works independently to perform a variety of administrative duties in support of domestic recruitment, using comprehensive knowledge of departmental goals and standards as well as institutional policies and procedures. The incumbent plans, analyzes, and interprets complex recruitment requirements and issues, researches options, and recommends and implements solutions.
Reporting to this position are the two Prospective Student Support Specialists and the Administrative Assistant positions within Future Students Office. The Coordinator provides leadership and supervision to these support staff.
**EDUCATION AND EXPERIENCE**
- Successful completion of an undergraduate diploma or an associate degree.
- Minimum three years’ experience working in post-secondary office administration, recruitment or admissions
- Previous experience in supervising unionized staff considered an asset
- Or an equivalent combination of education, training and experience
**QUALIFICATIONS**
- Exceptional written and oral communication skills.
- Strong intercultural communication skills and experience interacting with people of various ages, backgrounds, cultures and languages with a high level of professionalism, cultural awareness, diplomacy and tact.
- Excellent customer service ethic and high expectations for quality.
- Strong creative and critical thinking skills as well as proven problem-solving skills.
- Demonstrated ability to exercise a high level of initiative and responsibility, work independently and establish own priorities to meet deadlines.
- Demonstrated ability to handle sensitive and confidential information appropriately.
- Ability to respond well to working under pressure and resolve complex issues in a quick and effective manner.
- Experience with student information systems such as BANNER, constituent relationship management (CRM) systems, and reporting software such as FAST an asset.
- Demonstrated attention to detail in entering or importing data into computer systems.
- Demonstrated experience managing workflows; developing and deploying communications and compiling analytics and reports.
- Experience and success in data gathering, analysis and report writing to support evidence-based decision making.
- Outstanding interpersonal communication skills and ability to establish and maintain effective working relationships with University administration, faculty, staff, students and external community.
- Strong knowledge of BC’s postsecondary education system and the BC Transfer Guide
- Strong organizational and leadership skills, the ability to work as part of an integrated team and the ability to work independently.
- A minimum of 50 wpm with a high degree of accuracy is required
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, and Outlook)
- Ability to perform arithmetic and financial calculations with precision.
- Must be able to work flexible hours, evenings and weekends as needed.
- Possession of a valid driver’s license and access to a vehicle is required
