**JOB OVERVIEW: ADMINISTRATIVE COORDINATOR**
Reporting to the Divisional Business Manager, Faculty of Academic and Career Preparation, this position is responsible for performing a variety of administrative duties in support of the Faculty of Academic and Career Preparation multi-campus education plan and operation, using a comprehensive knowledge of the Faculty of Academic and Career Preparation and departmental goals/standards as well as institutional policies and procedure. The incumbent analyses and interprets complex divisional issues (i.e. scheduling, faculty and staff workloads, student issues/appeals), researches options and recommends solutions. The Coordinator also provides leadership and supervision to support staff.
**EDUCATION AND EXPERIENCE**
- Bachelor’s degree from a recognized post-secondary institution.
- Five years related experience that demonstrates increasing levels of responsibility preferably within a post-secondary work environment or an equivalent combination of education, training and experience.
**QUALIFICATIONS**
- Sound knowledge of academic disciplines, programs and terminology.
- Minimum of two years demonstrated supervisory experience including completion of performance evaluations, in a unionized environment.
- Formal training and/or extensive acquired knowledge in computing, including proficiency in using BANNER student and HR, dataMart or Kbit, or similar records based systems.
- Demonstrated analytical skills, including problem-solving and needs analysis.
- Proven ability to meet continually changing priorities, to tolerate ambiguity, to work on multiple tasks simultaneously, to respond to faculty and staff needs, and to respond to extreme levels of growth and change.
- Working knowledge of routine office systems and procedures, including standard filing systems, clerical control systems, record-keeping, etc.
- Demonstrated ability to create agendas, record and distribute minutes.
- Superior accuracy and attention to detail, particularly in editing documents.
- Demonstrated excellent interpersonal, planning, coordination, prioritization, problem-solving and follow up skills.
- Ability to develop flexible approaches toward work procedures and to improvise satisfactory alternatives as required.
- Superior communication skills, both spoken and written, exhibiting a high level of tact, professionalism and diplomacy.
- Proven ability to work independently and function successfully as a member of a team.
- Ability to establish and maintain effective working relationships with university administration, faculty, staff and students.
- Ability to patiently and effectively communicate with a diverse range of people and situations, including the ability to deal with hostile or upset clients.
- Proven ability to develop and implement effective multi-person administrative procedures in a systematic, organized fashion.
- Demonstrated experience with planning and organizing special events.
- Proven ability to handle confidential matters and materials with tact and discretion.
- Proven ability to independently compose standard forms of business communication such as memoranda, business correspondence, minutes of meetings, etc., on behalf of the Dean’s Office.
- Familiarity with Collective Agreements.
- Demonstrated numerical and statistical competency, experience with budget development and monitoring.
- Demonstrated skills in building and maintaining tracking systems.
