The Administrative Assistant for Adaptive Technologies will be the front facing member of our team. You will facilitate communication between patients and their care team. We need someone who is excellent at communication and customer service and can provide a warm and welcoming environment for all patients that come to Adaptive Technologies Inc. for their prosthetic and orthotic treatment.
In this role you will work closely with all employees to coordinate efficient patient care. You will check in patients for appointments, manage patient files, and check patients out. This role requires organization and the ability to multitask as you answer phone calls, watch the day’s schedule, and maintain administrative records.
ResponsibilitiesJob Duties
- Manage the clinic calendar; Schedule/reschedule appointments, take cancellations and maintain the waiting list.
- Prepare, organize and maintain patient files with careful attention to detail. Ensure all information regarding clients is stored in a confidential, secure manner
- Send & receive faxes from various clinics and insurance companies.
- Check in patients for appointments and maintain a welcoming environment.
- Handle cash and card payments, provide receipts and other required documents such as insurance letters and additional information.
- Participate in cleaning and maintaining a tidy clinic.
**Requirements**:
- Customer service experience required.
- Warm, professional telephone manner.
- Computer literacy (Windows and Excel). Experience with Jane App would be an asset
- Consistent and exceptional attention to detail.
- Ability to handle sensitive/difficult situations and confidential matters.
- Ability to work independently and within a dynamic team environment.
- Reliable transportation.
- Strong organizational and problem-solving skills.
Availability:
Working hours for the clinic are:
MON-WED 8-5
THURS 11-7
FRI 9-3
No weekends

- Post Secondary School (preferred)
**Experience**:
- Front desk: 1 year (preferred)
- Administrative experience: 1 year (preferred)
About Adaptive
As a full-service prosthetics and orthotics clinic we are both a clinic and a workshop. Appointments are held in one of our four patient rooms, specialized for prosthetic, orthotic and pedorthic care. But behind the scenes our workshop is busy completing in-house manufacturing of custom devices to support patient needs.
