**Position Summary**:
The School Assistant position has a central role of office and systems support and is a front-line representative of the School of Fashion. The incumbent, responds to questions from students, staff and faculty, redirecting where appropriate. Additionally, the incumbent provides administrative and organizational support for the school, which includes school event support, information processing, revisions of fact sheets, PAC support and assistance with school events.

**This position may require the incumbent to work on-site and/or remotely at scheduled times, dependent upon operational needs.**

**Responsibilities**:
**Administration**
- Provides administrative support to the Chair, staff and faculty with respect to processing course outlines, course descriptions, book lists, program fact sheets, exams, grade changes, school meetings, advisory committee meetings, minutes, memoranda and ongoing College correspondence.
- Ensures all relevant marketing information is available and is aware of School and campus personnel, policies and procedures.
- Provides administrative support for planning Advisory Committee meetings, which includes ordering food, arranging parking, preparing gifts and materials for committee members, assisting the chair and coordinators in any additional tasks.
- Assists with the coordination of School of Fashion events and attends when is necessary.

**Student/ Faculty Support**
- Responds to student, external, staff and faculty in-person and telephone inquiries. Refers students, where necessary, to the appropriate co-ordinator, professor, the chair, service area, or school.
- Ensures matters requiring immediate attention are dealt with.
- Uses College system to answer inquiries concerning class schedules, room schedules and student/faculty/room timetables.
- Assists the student adviser during open enrolment and start up with basic questions and triaging of students.
- Communicates information about school activities and decisions, including class cancellations, class changes and posts where appropriate.

**General Office Support**
- Approves requests for printing, assists as necessary with purchase and copying of all academic materials; follows up requests as required.
- Provides general office support including maintaining office supplies, arranging the servicing of office equipment and storage of exams and other supplies and equipment, uphold office cleanliness collects and distributes mail.

**Qualifications**:
**Education**
- Minimum of a completed two (2) year diploma in Office Administration or a closely related field.

**Experience**
- Minimum of two (2) years’ experience in an administrative support role, preferably in an education environment.

**Skills**
- Demonstrated communication, problem solving and interpersonal skills.
- Proficiency in use of the following software: Word, Excel, PowerPoint and Outlook.
- Experience with PeopleSoft/other student information system is preferred.
