**Position Summary**
The Administrative Assistant is a key role combining organizational expertise with repair coordination to ensure smooth operations and exceptional customer service. This role is essential for supporting administrative tasks while managing vehicle repair processes to maintain high standards of efficiency and customer satisfaction.

**Key Responsibilities**
- **Administrative Support**:
- Manage daily administrative tasks, including maintaining files, posting parts, processing documents, and handling correspondence.
- Assist in scheduling and coordinating meetings for team members.
- Prepare and organize repair orders, work authorizations, and warranties.
- **Repair Coordination**:
- Communicate repair progress with customers, insurance companies, and production teams.
- Inspect completed repairs and facilitate customer satisfaction during vehicle pick-ups.
- Develop and manage follow-up programs for appraisals and repair progress.
- **Customer Service**:
- Address customer inquiries and resolve concerns professionally and empathetically.
- Build positive relationships with team members, customers, and partners.
- **Health & Safety**:
- Maintain a clean and organized workspace in compliance with safety guidelines.

**Requirements**:
**Qualifications and Experience**
- 1-3 years of experience in a similar role, ideally with exposure to automotive or repair planning.
- Proficiency in MS Office Suite (Word, Excel, Outlook), estimating software knowledge preferred (e.g., Mitchell, Qapter).
- Knowledge of automotive repair processes and insurance guidelines is an asset.
- Valid driver’s license is required.
