**Role Description**
This is a full-time, on-site role for an Office Administrative Assistant at CALO Real Estate Development. The Office Administrative Assistant will be responsible for providing administrative support to the staff, maintaining office operations, managing phone calls, and communicating effectively with team members and clients.
- Welcome clients and guests
- Answer phones
- Manage office inventory
- Order supplies, manage office space, and maintain filing systems
- Prepare documents: Compile letters, memos, and other documents
- Manage president’s calendar
- Make appointments, schedule meetings etc.
- Filing
- Match PO’s with invoices
- Prepare dossiers for projects
- Data entries and bookkeeping
- In addition to any other office duties
**Qualifications**
- Strong phone etiquette and communication skills
- Expert level written and verbal communication skills in French and English (an asset)
- Excellent organizational and time management abilities
- Attention to details
- Ability to multitask and prioritize tasks effectively
- Resourceful team-player
- Ability to maintain confidentiality
- Proficiency in Microsoft Office suite (Word, Excel, Outlook and HOPEM)
- Bookkeeping skills are highly recommended and valued
- Industry Knowledge is an asset

**Description du poste**
Il s'agit d'un poste à temps plein, sur place, pour un assistant administratif de bureau chez CALO Real Estate Development. L'assistant(e) administratif sera chargé(e) de fournir un soutien administratif, d'assurer le fonctionnement du bureau, de gérer les appels téléphoniques et de communiquer efficacement avec les membres de l'équipe et les clients.
- Accueillir les clients et les invités
- Répondre au téléphone
- Gérer l'inventaire du bureau
- Commander des fournitures, gérer l'espace de bureau et maintenir les systèmes d'archivage
- Trier et répondre aux courriels (boîte de réception générale et président)
- Préparer des documents : Compiler des lettres, courriels, mémos et autres documents
- Gérer le calendrier du président
- Prendre des rendez-vous, planifier des réunions, etc.
- Classement
- Faire correspondre les bons de commande avec les factures
- Préparer des dossiers pour des projets
- Saisie de données et tenue d'une partie de la comptabilité
- En plus de toutes les autres tâches de bureau
**Qualifications**
- Solides compétences en matière d'étiquette téléphonique et de communication
- Compétences en communication écrite et orale de niveau expert en français et en anglais (un atout)
- Excellentes capacités d'organisation et de gestion du temps
- Souci du détail
- Capacité à effectuer plusieurs tâches à la fois et à établir des priorités de manière efficace
- Esprit d'équipe plein de ressources
- Capacité à maintenir la confidentialité
- Maîtrise de la suite Microsoft Office (Word, Excel, Outlook et HOPEM)
- Les compétences en tenue de livres sont fortement recommandées et appréciées
- La connaissance du secteur est un atout.
