We are now looking for a motivated, sharp, and organized Administrative & Operations Assistant to support Olea and several of our operating companies.

This role is ideal for a young graduate or early-career professional who wants to learn fast, take ownership, and grow into bookkeeping, finance, and business operations.

What You'll Do

Administration & Organization

  • Support daily operations for several companies in the Olea group
  • Organize files, documents, workflows, and digital systems
  • Manage schedules, appointments, and meeting logistics
  • Keep internal processes efficient, clear, and well-structured

Bookkeeping & Financial Support (Training provided)

  • Assist with bookkeeping, invoicing, expenses, and payments
  • Maintain accurate financial records using QuickBooks, SpreadSheets, Reporting tools and other systems
  • Prepare reports, summaries, and reconciliations

Operations & Support

  • Coordinate with staff, clients, and suppliers in a professional manner
  • Improve administrative workflows and support automation initiatives
  • Support onboarding processes, HR documentation, and internal communication
  • Help standardize procedures across the group

Who You Are

We're looking for someone who is:

  • Highly Organized : You enjoy structure, clarity, checklists, and getting things done properly.
  • Detail-Oriented : Accuracy matters to you — especially with documents and numbers.
  • Comfortable With Financial Tasks: You don't need to be an accountant, but numbers do not scare you, you can learn bookkeeping software, and you like want to contribute to growing a business
  • Tech-Savvy : You learn new software quickly and enjoy improving digital workflows.
  • Proactive & Curious : You ask questions, propose ideas, and want to learn how businesses operate.

Qualifications

  • Post-secondary degree or diploma (business, admin, accounting, operations, or similar)
  • Strong skills in Google Workspace and/or Microsoft Office
  • Experience with QuickBooks or any bookkeeping tool is an asset (not mandatory)
  • Excellent communication skills in French and English
  • Ability to multitask, prioritize, and work independently
  • Previous admin, coordination, or customer support experience is a plus
