**Position Overview**:
The HR Administrative Assistant is an integral part of the Novarc team who reports to the HR Manager. We are looking for a well versed professional who can streamline and support the HR Manager on a wide range of tasks such as scheduling orientation and onboarding meetings, diarizing probationary reviews, updating HR records, organizing office and desk set up, keeping track of records, supporting various operational and social events. This person will be involved in many aspects of the Novarc business from administrative to operational support from the People and HR perspective.
**Key Responsibilities**:
- Supporting onboarding of new joiners via office and IT setup, orientation, completing forms, scanning documents, coordination in between departments.
- Supporting offboarding matters from updating records to collecting company issued devices and updating inventory records.
- Providing administrative support to the HR Manager.
- Supporting existing employees with employment verifications, conducting research relating to grants, visa extensions, travel requirements to client sites, completing related forms and drafting support documents.
- Organizing and documenting HR related issues in form of complaints, concerns and suggestions for HR Manager
- Handling incoming and outgoing mail and packages.
- Coordinating meetings and supporting staff socials and events.
- Tracking the attendance of employees and their use of vacation and sick days.
- Maintaining records, spreadsheets, seating plans and company directory.
- Registering employees for training (i.e. first aid, forklift, WHMIS, etc.).
- Maintaining master list of employees and contractors.
- Updating monthly Employee newsletter.
- Ordering kitchen and office supplies.
- Keeping all 3 offices tidy on a weekly basis.
- Taking projects assigned by the HR Manager.
**Requirement knowledge, skills and abilities**:
- Excellent oral communication skills; professional and confident phone manner,
- Excellent written communication skills; ability to edit correspondence and reports.
- Minimum 2 years of experience as an HR Assistant/Admin. Ideally, 3-5 years of proven experience in HR in Canada is an asset.
- High level of professionalism, energy, speed and accuracy.
- Positive attitude, with an eagerness to learn and grow.
- High Proficiency in Google Suite and Google Workspace.
- Experience with Wrike, DocuSign, calendar management, employee engagement and planning for social events are considered an asset.
- This position is full time in one of Novarc’s 3 offices (hybrid and remote work not permitted).
- Valid driver’s license and reliable transportation.
