**Required Qualifications**
- Demonstrated accounting/administrative assistant experience
- Solid understanding of Generally Accepted Accounting Principles and practices
- Knowledge of payroll processing procedures and regulations
- Proficiency in using accounting software with a preference for those experienced in Sage 300
- Proficiency in all Microsoft Office Products with emphasis on Word,Excel and PowerPoint
- Proficiency and experience in Adobe Acrobat Pro software
- Strong attention to detail and accuracy in data entry and record keeping
- Excellent organizational skills and ability to prioritize tasks
- Strong analytical skills for account analysis and reconciliation
- Ability to multi-task and manage priorities efficiently
- Ability to work independently while also collaborating within a team
- Strong verbal and written communication skills for internal and external purposes
- Maintain confidentiality of sensitive financial information
- Be proactive and have a willingness to learn new skills
- The ability to speak French deemed an asset

**Accounting Assistant Responsibilities**
- Perform bookkeeping tasks such as accounts payable, accounts receivable, monthly journal entries, reconciling bank statements
- Petty cash maintenance
- Reconcile various general ledger accounts
- Laserfiche accounting records and documents
- Run monthly reports from insurance claims management system
- Assist in the creation and maintenance of Excel spreadsheets
- Assist Controller with preparation of monthly activities (journal entries)
- Assist Controller with year-end and audit activities as required
- Assist Controller with budgeting and financial forecasting activities as required
- Other tasks as assigned

**Administrative Assistant Responsibilities**

**Administration**
- Provide executive support for the CEO and Board of Directors
- Provide administrative support to the Controller
- Prepare/draft correspondence
- Preparing board room for meetings
- Assist with procurement activities including management of RFP website postings
- Maintain Insurance Program enrollment spreadsheet
- Liaise with office landlord regarding day-to-day maintenance issues
- Prepare/draft updates to internal policies and procedures
- Prepare/draft and distribute annual report
- Assist in creation, editing and distribution of quarterly newsletter
- Maintenance and distribution of contact lists
- Monitor office supplies and manage restocking as necessary
- Assist with management of IT resources

**Board of Directors Responsibilities**
- Prepare and distribute Board meeting packages prior to meetings
- Prepare, draft, and distribute correspondence
- Assist the CEO with Board activities and other needs as required
- Attend Board meetings and take minutes
- Ensure on-going communication between SIP office and Directors
- Arrange accommodation and catering for SIP meetings
- Other tasks as assigned
