We seek excellent students, faculty, and staff to join us in what has become known as the "Western Experience" - an opportunity to contribute to a better world through the development of new knowledge, new abilities, new connections, and new ways to make a difference. **About Us**: Western Continuing Studies (WCS) is the educational bridge between Western University and the global community serving learners from London and Southwestern Ontario to Québec and beyond. **Responsibilities**: The Administrative Officer works closely with the Director in developing and maintaining the efficiency of Western Continuing Studies by managing a wide range of financial, operational, administrative, and human resources functions and processes within the unit. Through planning, forecasting and close monitoring of two separate cost-recovery budgets, the role administers the department’s financial policies, consults and supports the activities of multiple program areas, including Professional Development, Post-degree Diplomas, Corporate Learning and French Immersion. The role ensures effective and efficient financial administration, and provides financial, accounting, and budgetary support within the department, compiles relevant data, conducts timely and accurate financial analysis and reporting, and contributes to the strategic planning. The Administrative Officer is the first point of contact for internal and external stakeholders and acts as a resource in relation to operations, administrative, financial, human resources, procurement and budgeting processes. **Qualifications**: - Education: - Undergraduate degree in Business or Administration; in accounting, finance, human resources or related field preferred - Completion of Canadian Institute of Management (CIM) designation preferred - Certificate in Project Management an asset **Experience**: - 3 years’ experience supporting administrative (Human Resources and Financial) processes for a business, including budgeting, management accounting, forecasting, purchasing, payroll, and accounts receivable, preferably in a unionized environment - Experience in an administrative role in a post-secondary environment preferred - Experience working with PeopleSoft Financials and/or Human Resources or other similar enterprise systems preferred Knowledge, Skills & Abilities: - Knowledge of key financial budgeting and accounting principles in a revenue generating operation - Demonstrated knowledge in financial and business analysis with the ability to communicate issues and present opportunities to key stakeholders - Knowledge of project management practices to initiate and implement a project from concept to completion, including clarity on team roles, communication of milestones and accountability for meeting deadlines - Knowledge of general office procedures, including records management systems - Knowledge of Western policies and procedures preferred - Excellent verbal and written communication skills to write reports, explain procedures, chair meetings, and make presentations - Ability to handle details with a high degree of accuracy and to organize and prioritize a high volume of work to meet deadlines - Ability to work and multi-task in a fast-paced environment, meet tight deadlines and adapt to growth and change - Ability to work independently with little supervision - Ability to work in a manner that is compliant with confidentiality requirements - Ability to remain highly motivated, resilient, innovative, and collaborative in challenging circumstances - Results-oriented with the ability to motivate colleagues in meeting high performance standards - Interpersonal skills that build strong and positive relationships with team members, colleagues, and vendors and confidence dealing with all levels of an organization - Advanced computer skills in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and with specialized databases (e.g., PeopleSoft and DestinyOne) - Creative problem-solving skills, especially using technology and in financial processes, and sound professional judgment, especially regarding confidential/sensitive matters **Western Values Diversity**: **Please Note**: We thank all applicants for their interest; however, only those chosen for an interview will be contacted.
