**Engineers and Geoscientists British Columbia** is currently searching for an **Administrative Assistant, Human Resources** to join our team in Burnaby The Administrative Assistant, Human Resources reports to the Director, Human Resources and Facilities and is responsible for providing general administrative support to the department, coordinating employee social events and assisting in the delivery of departmental projects. The role supports the department's core day-to-day functions and works closely with staff within the HR and Facilities team to support multiple activities and programs as needed. This role will also provide vacation and sick day coverage for Reception and may provide coverage at other times when necessary. **WHAT YOU WILL BE DOING** - Provides general administrative support to the Human Resources and Facilities department. - Tracks and submits HR-related invoices for appropriate approval. - Supporting the Manager, Human Resources, organizes, coordinates, and facilitates events through our Flourishing Staff Team (FST) including small, medium and large events, and other initiatives. Plans team-building events and other staff social events as needed. - Provides general administrative support for the organization's Joint Health and Safety Committee (JHSC) including taking meeting minutes and attendance. - Assists with the planning, coordination, and facilitation of the organization's orientation and onboarding programs. Schedules and coordinates regular check-in meetings and surveys sent to new employees. Circulates and reports on Recruitment Survey sent to the managers of new employees. - Schedules and coordinates ergonomic assessments for new employees. Reviews ergonomic assessment reports and provides associated recommendations to the Manager, Office and Facilities. - Completes administrative tasks related to onboarding new employees including but not limited to creating new PurelyHR time-off management profiles and collecting emergency contact information. - Drafts and prepares interim performance review and annual performance review forms. - Updates and maintains organizational charts and related Intranet resources. - Assists the Manager, Volunteer Program with administrative duties related to our volunteer program including updating our Member Relationship Management system and distributing Volunteer Guidelines to new volunteers. May provide support for volunteer recognition initiatives and other Volunteer Program initiatives. - Assists the Manager, Human Resources and HR Generalist in the planning and delivery of Staff Appreciation events. - Tracks and organizes Service Recognition Awards for staff. - Assists with HR-related data analysis, metrics, and KPI reporting. - Provides backup support for the front desk Administrative Assistant / Customer Service Representative to ensure front desk coverage during vacations, sick days, and some lunches. Will be required to work in-office on days when providing front desk coverage and regularly scheduled in-office days. - Will provide support to the Associate Director, HR and Director, HR&F on various projects and initiatives, as needed. - Other duties as assigned by management. **WHAT YOU BRING TO THE TABLE** The successful applicant will possess the following: - Diploma in administrative services is preferred. - 2-5 years of related experience in an administrative support position. - Experience in event planning, coordination, and facilitation. - Experience using Office 365 including Teams, Outlook, Word, and Excel, - Customer service experience. - Strong attention to detail and accuracy; ability to stay organized while multitasking. - Excellent communication skills, both written and verbal. - Successful track record of handling confidential information. **WHAT'S IN IT FOR YOU** Each member of our team enables us to deliver on our vision of "modern regulation for a resilient world".
