**Join Our Team as a Finance/Payroll Specialist**
Are you a detail-oriented professional with a passion for payroll and financial operations? We are looking for a dedicated **Finance/Payroll Specialist** to join our dynamic team. In this critical role, you will ensure seamless payroll processing, benefits administration, employment updates, and subsidy management. Additionally, you will contribute to financial operations through month-end reconciliations, reporting, and support for audits and budgets.
Reporting directly to the People Success Manager and Controller, this position offers an excellent opportunity to make a meaningful impact in both finance and payroll functions within our organization.
**Key Responsibilities**
**Finance Responsibilities**
- Assist in month-end and year-end closing processes, ensuring timely and accurate financial data.
- Process financial entries to accurately record all business transactions.
- Perform reconciliations for bank accounts and credit cards; prepare and post journal entries.
- Support the Accounts Payable team with invoice processing and vendor balance reconciliation.
- Prepare and reconcile external reports, such as regional filings.
- Assist the Controller during the annual audit process.
- Provide backup support for Accounts Payable team members.
- Collaborate with the Controller on annual budget preparation and monthly budget variance analysis.
**People Success Responsibilities**
- Process payroll accurately and on time, addressing discrepancies and ensuring compliance with laws, and policies and proper calculation/withholding of taxes
- Prepare, verify and process all employee payroll related payments, including regular pay, benefit payments, and special payments such as bonuses and vacation pay in conjunction with the Manager and Coordinator.
- Manage benefits enrollments, updates, and issue resolution while maintaining compliance.
- Process employment changes and updates promptly and accurately.
- Administer subsidies, ensuring adherence to funding guidelines and organizational policies.
- Prepare payroll related filings and ad hoc reports (e.g. year-end tax statements, T4s, Records of Employment, etc.)
**Qualifications**
- Degree in Accounting, Payroll, or a related field, or equivalent education.
- At least 2 years of experience with accounting software.
- Minimum of 2 years of experience in payroll/HRIS systems.
- Certificate in Payroll Compliance Practitioner or actively working towards is an asset.
- Proven experience in benefits administration, including enrollment and compliance.
- Advanced proficiency in Excel (e.g., formulas, pivot tables, data analysis).
- Exceptional attention to detail and strong organizational skills.
- Discretion in handling sensitive and confidential information.
- Excellent communication skills for liaising with team members, management, and stakeholders.
- Strong problem-solving skills to resolve payroll discrepancies efficiently.
- Effective time management to meet strict deadlines.
- Analytical mindset with the ability to identify trends and discrepancies.
- Ability to work independently and collaboratively in a fast-paced environment.
- Experience preparing audit reports and ensuring regulatory compliance.
