**Position Summary**:
The Program Administrator supports the management of ARMA’s incentive programs for registered partners. Our registered partners are essential to our success. They collect, transport and process end-of-life materials in an environmentally friendly and financially sustainable way. Program Administrators are at the center of the incentive programs, answering inquiries from the public and potential partners, managing, and validating monthly claims, providing data and analysis on ARMA’s recycling programs, and contributing to building the best recycling programs in Canada.
**CORE RESPONSIBILITIES**
- Ensure processor incentive claims received are complete and accurate, and supporting documentation is validated prior to submitting for payment approval in accordance with organization policies and procedures.
- Liaise with processors to correct incomplete or inaccurate incentive claim packages.
- All incentive claim information is entered accurately and on time within the appropriate systems.
- Ensure ongoing and timely communication with processors on program related matters.
- Ensure documentation for all processors and approved downstream processors in accordance with the incentive program requirements.
- Collaborate with other departments to ensure any non-compliance issues are communicated and followed up on with respect to processor documentation and incentive claims.
- As a member of the Program Administration Team, provide data, analysis and/or reports in accordance with organization policies and procedures.
- Respond to program inquiries from the interested parties including but not limited to; the public, internal team members and registered or prospective processors.
- Cross-training to provide support and backup for the Program Administration Team.
- Maintain files in the central and electronic system according to organization records management policy.
- As assigned, participate in program related special projects.
- Perform general administrative duties as required.
**Other Duties**
- Maintains an understanding of and adheres to Alberta Recycling policies, procedures, and standards.
- Contributes to a positive and safe culture by modeling the organizational values.
- Performs other job-related duties and assists other team members as required.
**SUCCESS MEASURES**
- Submission of verified incentive claims package that are error free and received on time are completed according to the established schedule.
- Payment requisitions submitted for approval are complete and accurate.
- Incentive claim data is available for reporting no later than three (3) business days after month-end.
- Required processor documentation, including approved downstream processor documentation, is kept current and accurate.
- All records management activities are completed in accordance with organizational records management policy.
**EXPERIENCE AND COMPETENCIES**
- Business Administration Certificate or Diploma, or equivalent.
- Equivalent combination of education and experience may be acceptable.
- A minimum of one year in an administrative, data analysis or program advisor role is strongly preferred.
- Strong written and oral communication skills.
- Excellent time management, decision-making, problem-solving skills.
- Demonstrated ability to be flexible and adaptable within a growth-oriented environment.
- Strong interpersonal skills.
- Exceptional attention to detail.
**Job Type**: Casual
**Salary**: $46,000.00-$49,500.00 per year
