The Office Administrator is a paid full time position to perform the administrative duties around planning and executing the annual Festival, and to support the Board of Directors. Reporting to the President, this person is the “face of festival” for many of our community and is involved in most aspects of Festival.
- Works closely with our Section Heads to support scheduling and contract arrangements for Adjudicators, Jurists and venues
- Organises venue supplies, cashier floats, adjudicator packets, camera and signage for all sessions and concerts
- Builds the calendar and syllabus together with Section Heads and Board Members
- Leads concert program production & printed promotional material
- Maintains various databases (volunteers, donors, advertisers and sponsors)
- Assists with correspondence to donors, stakeholders and partners in conjunction with Board Members
- Manages sponsors and advertisers including invoicing
- Manages & updates our web page, social media accounts and online registration system
- Assists the President and Board Members with meeting agendas, portfolio reports and minute administration
- Performs basic bookkeeping duties, receive/sort mail, deposit cheques and prepare/check invoices for the Treasurer
- Contributes flexibly to support Board Portfolios (Donors, Sponsors, Grants, Awards etc)
**Qualifications/Capabilities**
- Minimum 2 years related work experience
- Certificate/diploma or degree in business administration, arts administration, or non-profit administration or equivalent education or experience would be preferred
- Strong interpersonal skills and a team-player
- Excellent communication skills, both verbal and written
- Excellent organisational and leadership skills, with the ability to adapt to shifting priorities and prioritise work
- Ability to handle sensitive and confidential situations with diplomacy
- Willingness and curiosity to learn
- Commitment to accuracy and attention to detail
- Ability to work independently and multi-task, with effective problem-solving skills
- Good working knowledge of Microsoft Word & Excel, Zoom, and comfort with computer systems
**Preferred Skills**
- Familiarity with non-profit sector; experience with arts organizations an asset
- Practical experience with SAGE accounting software an asset
- Ability to access a wide range of sources and networks for information
**Additional Notes**

Compensation is $25.00/hr (3 month probation period at $23.00/hr) with 2 weeks paid vacation (pro-rated) and free parking. Benefits negotiable.
