**Position Overview**
We’re looking for a highly organized and detail-oriented **Administrative & Operations Assistant** to support the CIO and the Forbes IT team in day-to-day operations. This role involves a mix of administrative coordination, client communication, scheduling, invoicing, and marketing support. You’ll act as a key connector between clients, technicians, and vendors ensuring every job runs efficiently from quote to completion.
**Key Responsibilities**
- Create and manage client quotes and estimates based on project scopes.
- Generate invoices, send them to clients, and follow up for payment collection.
**Scheduling & Coordination**
- Schedule site visits, service calls, and installations for technicians.
- Contact clinics and coordinate visit times that work with their operations.
- Ensure all scheduled jobs have the required inventory, hardware, or parts available.
**Project & Operations Support**
- Assist the CIO with ongoing projects, internal tasks, and documentation.
- Communicate with inventory team, track shipments, and confirm product availability with the inventory team.
**Marketing & Growth Support**
- Support Forbes IT’s online presence through light social media activity.
- Assist with outreach and introductions to potential new clients.
**Qualifications**
- 2+ years of administrative or coordination experience (preferably in IT, healthcare, or service industries).
- Strong communication and organizational skills.
- Proficiency in Microsoft 365, Excel, and general office software.
- Comfortable learning CRM and quoting systems (experience with QuickBooks or similar is a plus).
- Ability to multitask and work independently in a fast-paced environment.
- Professional, friendly, and confident when speaking with clients and vendors.
