The Woods Arts & Wellness provides arts and nature-based programs to increase mental health and well-being. We are hiring an Administrative Assistant for our space located in Delbrook Plaza, North Vancouver. The purpose of this role is to:
- Ensure smooth day-to-day operations of The Woods’ services, studio, and team; and
- Provide clients with an exceptional experience and inspiring environment.

**Reports to**: Managing Director
**Work Schedule**:
Estimated 10-15 hours per week, with opportunity for growth as the organization grows. Onsite schedule to be discussed based on organizational and individual schedule needs.
**Responsibilities**
- Operations & Studio
- Support organization's operations, ensuring effective delivery of services and use of resources.
- Coordinate Client Experience: processes, policies, and systems to create an exceptional experience, ensuring all issues are resolved and identifying opportunities to improve client satisfaction.
- Document and update operational policies and procedures to reflect best practices and regulatory changes.
- Support cleanliness, maintenance, and access to studio space and equipment in a financially and environmentally sustainable way.
- Assist with scheduling, coordination, invoicing, and payment of all programs and client sessions (via Jane.app).
- Oversee front desk operations, including greeting and assisting clients, check-ins/outs, and effectively responding to clients’ needs, inquiries, complaints, and feedback.
- Monitor and maintain inventory of program supplies, equipment, and other materials.
- Ensure compliance with all applicable government regulations and industry standards.
**Communication & Events**
- Support the creation, distribution and management of communication materials including promotional materials, website content, and social media.
- Assist with special events and community outreach programs.
**Managing Director Support**
- Support with recruitment, onboarding, training and development of The Woods’ team, including staff, facilitators and volunteers.

**Education, Experience & Skills**
- Undergraduate degree or equivalent combination of education and/or experience
- 2+ years experience as an Administrative Assistant or similar lead operational role
- Experience or knowledge of Non-profit organizations ideal
- Ability to build trusting relationships w/ MD and other key relationships (e.g. partners, supporters, etc.)
- Demonstrated communication skills (verbal / written / presentation)
- Experience with scheduling and payment software ideal (e.g. Jane.app)
**Nice to Haves**
- Experience with design in Canva to assist with the creation of communication materials, including promotional materials, website content, and social media.
- Event coordination skills to assist with special events and community outreach programs.
- Familiarity with arts and wellness industries or community engagement experience.
**Compensation & Benefits**
- $20 to $25 per hour total compensation.
**Job Type**: Part-time
Pay: $20.00-$25.00 per hour
Expected hours: 10 - 15 per week
