**About the Black Business Initiative (BBI)**
The Black Business Initiative is committed to growing a stronger Black presence in Nova Scotia's business community. As the longest-serving Black business development initiative in Canada, we support Black-owned businesses to start, grow, and compete in the mainstream economy. BBI serves as a catalyst for job creation, equitable participation, and economic prosperity throughout Nova Scotia.
**Position Overview**
The Administrative Assistant will provide administrative support to BBI staff and ensure the smooth day-to-day operations of the BBI office. This includes managing correspondence, maintaining office systems and supplies, and supporting internal processes and events.
**Key Responsibilities**
- Maintain internal administrative processes and procedures
- Support the upkeep of employment policies, performance tools, and job descriptions
- Maintain up-to-date personnel files and organizational charts
- Provide support with Customer Relationship Management (CRM) software and internal databases
- Prepare and proofread correspondence, reports, and meeting notes
- Schedule and confirm meetings and appointments for staff
- Maintain both digital and manual filing systems and mailing lists
- Order office supplies and coordinate maintenance of office equipment
- Arrange travel for staff as needed
- Process incoming and outgoing mail (physical and electronic)
- Assist in the planning and logistics for organizational events
- Perform other administrative duties as required
**Qualifications and Skills**
- High school diploma plus successful completion of a one-year commercial or secretarial course (or acceptable equivalent)
- Minimum three years of relevant administrative experience
- Advanced computer skills, including Microsoft Office Suite
- Strong organizational and communication skills
- Ability to handle multiple tasks with attention to detail and accuracy
- Professionalism and discretion in handling sensitive information
**Working Conditions**
- Hours of work: Monday to Friday 8:30am - 4:30pm
