PSL Patrick Sprack Limited was formed in 2006 as a Preventative Maintenance Oriented HVAC company. Since this time, we have become a reputable and leading Northern Ontario HVAC-R contractor to the mines, industrial sites as well as commercial properties.
PSL Patrick Sprack Limited provides a variety of heating, ventilation, air-conditioning, petroleum, propane, and refrigeration services ranging from planned maintenance (both preventative and full coverage), inspections and diagnostic services as well as repairs, retrofits and new installations for commercial and industrial mechanical systems.
**Responsibilities**:
- Oversee day-to-day office operations and maintain a well-organized and tidy workspace.
- Manage office supplies, including ordering, restocking, and maintaining inventory levels.
- Handle incoming and outgoing mail and packages.
- Provide administrative assistance to various departments as needed.
- Assist in drafting and proofreading documents, correspondence, and reports.
- Maintain and update company databases and filing systems.
- Serve as the primary point of contact for internal and external communications.
- Answer phones, redirect calls, and respond to inquiries in a professional manner.
- Schedule and coordinate meetings, conferences, and appointments.
- Prepare meeting agendas, documents, and take minutes as required.
- Arrange travel arrangements for employees if necessary.
- Coordinate with building management for office maintenance and repairs.
- Oversee the maintenance of office equipment and coordinate IT support when needed.
- Assist in the onboarding process for new employees.
- Maintain employee records and ensure compliance with company policies.
- Support HR in organizing company events and employee engagement activities.
- Assist in tracking office expenses and preparing budget reports.
- Process invoices and ensure timely payment to vendors.
- Undertake special projects and assignments as directed by senior management.
- Continuously look for opportunities to improve office processes and efficiency.
- Other duties as required.
**Required Skills and Qualifications**:
- High school diploma or equivalent; additional qualifications in office administration or related field are a plus.
- Proven experience as an office administrator or in a similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Detail-oriented with a proactive and positive attitude.
- Ability to work independently and collaboratively as part of a team.
