PSL Patrick Sprack Limited was formed in 2006 as a Preventative Maintenance Oriented HVAC company. Since this time, we have become a reputable and leading Northern Ontario HVAC-R contractor to the mines, industrial sites as well as commercial properties.
PSL Patrick Sprack Limited provides a variety of heating, ventilation, air-conditioning, petroleum, propane, and refrigeration services ranging from planned maintenance (both preventative and full coverage), inspections and diagnostic services as well as repairs, retrofits and new installations for commercial and industrial mechanical systems.
**Responsibilities**:
- Oversee day-to-day office operations and maintain a well-organized and tidy workspace.
- Provide administrative support to the electrical division, ensuring smooth departmental operations.
- Manage dispatching tasks, including coordinating schedules and assigning jobs to field staff.
- Handle incoming and outgoing mail, packages, and departmental correspondence.
- Assist in preparing, organizing, and maintaining project documentation, including permits, work orders, and compliance records.
- Serve as the primary point of contact for internal and external communications related to the electrical division.
- Answer phone calls, redirect inquiries, and provide professional customer service.
- Manage purchase orders (POs), ensuring accuracy, timely processing, and vendor payments.
- Maintain and update databases and filing systems specific to the electrical division.
- Schedule and coordinate meetings, conferences, and appointments for the team.
- Prepare meeting agendas, take minutes, and distribute documents as required.
- Assist with tracking office expenses and preparing budget-related reports.
- Monitor and order office supplies to ensure inventory levels meet department needs.
- Coordinate with building management for office maintenance and repairs.
- Undertake special projects and assignments as directed by management.
- Continuously seek opportunities to improve processes and enhance office efficiency.
- Other duties as required.

- Effectively presents information in one-on-one and small group interactions with customers, clients, and team members.
**Education and Experience**:
- High school diploma or equivalent; additional qualifications in office administration or related field are a plus.
- Proven experience as an office administrator or in a similar role, preferably in the electrical, construction, or technical services industry.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management or dispatching software is a plus.
- Understanding of basic electrical terminology, workflows, or project documentation is preferred.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Detail-oriented with a proactive and positive attitude.
- Ability to work independently and collaboratively as part of a team.
