**Overview **The Administrative Assistant ensures the efficient operation of the front office, by maintaining the overall flow of workplace operations. The administrative assistant is the central point of contact for clients and employees alike and generally keep track of employee directories, essential contact information, senior leadership and senior management team schedules, handling all of the recordkeeping and incoming messages, and supporting various departments. This role is requiring integrity, professionalism, and dedication

**Essential Job Functions**

Cover the reception desk, answer, and direct phone calls, greet, and provide general support to visitors

Organize and schedule appointments and meetings, and maintain contact lists

Produce and distribute correspondence memos, letters, faxes, and forms

Assist in the preparation of regularly scheduled reports

Develop and maintain a filing system

Order office supplies, book travel arrangements and submit and reconcile expense reports

Provide information by answering questions and requests

Generate reports, prepare and monitor invoices, creates presentations and handle multiple projects

Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques

Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies

Maintain professional knowledge by attending educational workshops; reviewing professional publications; establishing personal networks

Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.

Handle sensitive information in a confidential manner

Take accurate minutes of meetings

Resolve administrative problems, receive, sort, and distribute the mail, and conduct data entry

Organize and manage an active calendar including scheduling meetings, engagements, and appointments, book conference calls, rooms, taxis, couriers, hotels

Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected

Responds to internal and external requests for information and follows through to ensure requested actions are taken or completed

5 to 7 years administrative experience supporting senior management team or/and senior leadership team

Demonstrated proficiency in all aspects of MS Office

Advanced knowledge of Outlook, Word, PowerPoint and Excel

Exceptional prioritizing and organizational skills within a fast-paced environment

High level of accuracy and attention to detail

Excellent customer service orientation and understanding of importance of diplomacy and confidentiality

Demonstrated ability to interact professionally with people at various levels of an organization

Excellent verbal and written communication skills

Ability to multi-task in a deadline driven environment

Initiative, strong judgment and problem-solving abilities

Bilingual - French and English is an asset (not required)

**Salary**: $56,000.00-$72,000.00 per year
