**ADMINISTRATIVE ASSISTANT **EAGLES NEST YOUTH RANCH

The Administrative Assistant is the first point of contact for the agency. The Administrative Assistant manages the reception area and filing, accurately and quickly inputs, modifies, and retrieves data, designs, creates, edits, and formats complex documents using advanced feature of various software packages, and initiates and composes routine and non-routine correspondence. Knowledge in the areas of agency mission, vision, and philosophy as well as internal policies and procedures allows the Administrative Assistant to assist others in a broad range of areas and in a professional, timely manner. The Administrative Assistant is directly responsible to the Manager of Human Resources.

**Responsibilities**:

- To handle all incoming calls, faxes, mail (internal and external), staff, and visitors and direct as required
- To maintain confidential on-site files and keeping filing up-to-date
- To perform confidential data entry, administer access, and generate reports, on applicable databases
- To sort, copy mail, and file reports
- To maintain adequate supply of various internal documents, Employee Handbooks, TCI manuals, and training/testing packages and to ensure all packages and manuals are kept up-to-date
- To maintain a clean and orderly office environment
- To maintain adequate stock of office and cleaning supplies, and arrange service and repairs of office equipment
- To demonstrate effective stewardship of and fiscal responsibility regarding office-related supplies
- To assist in the coordination of agency training
- To assist in the coordination of Practicum placements
- To assist in the enrolment and withdrawals of youth from the agency Education programs
- To assist in the coordination of Educational Assistance/Conference/Seminar packages and applicable reimbursements
- To type and prepare forms, documents, letters, agency correspondence, etc as required using various software programs
- To manage invoicing, Purchase Orders, Petty Cash, receipts with approval from the relevant Manager
- To arrange for meetings, interviews, and facilities for training and other events as requiredand take registrations/RSVPs where appropriate
- To assist in agency event planning and execution
- To be serve as a “catch-all” point of access for information and assistance in an array of areas not necessarily better handled by any one other individual within the organization
- To ensure staff/client confidentiality at all times
- To operate by the agency’s Code of Ethics, philosophy, policies, and procedures

Qualifications:
**Job Types**: Full-time, Fixed term contract

**Salary**: $19.44-$21.03 per hour

**Education**:

- Secondary School (preferred)
