**About This Opportunity**

The Office Administrator is responsible for a variety of administrative activities to support the request process and the day-to-day operations of the office. The position assumes the role of _go-to_ _person_ for all office management matters.

**What You Will Do**

**Front Desk/Receptionist**
- Greet and welcome visitors and direct them to the relevant department/personnel.
- Register visitor’s vehicle on the required online portal (Offstreet)
- Arrange and coordinate courier package shipments and accept deliveries
- Pick-up, sort and distribute mail to appropriate departments and personnel
- Ensure front office suite entrance is clean & tidy and free from any hazards

**Office Management**
- Manage office inventory and order supplies from approved vendors at regular intervals to ensure stock levels are adequately maintained in mailroom and lunchroom
- Perform daily cleaning of coffee machine and coordinate for vendor routine maintenance of coffee machine and water dispenser, as appropriate
- Oversee the maintenance of office printers and coordinate with vendor when repairs are needed
- Oversee postage meter-rate downloads, postage refills, supplies and any machine troubleshooting
- Coordinate with vendor for timely emptying of sensitive document bins (Shred-it)
- Manage and oversee the meeting rooms booking requests
- Ensure common areas and Boardrooms are clean and in order
- Reconcile corporate AMEX account and monthly charges
- Liaise with the building manager (Collier) and submit any repair or maintenance requests through web portal

**HR Administration**
- Manage parking tag and building access assignment through the required building management portal; maintain active log; assign cards to new employees, and deactivate users
- In collaboration with HR, work closely with IT and RSC managers to coordinate New Hire orientation office tours and off-boarding, as needed
- Participate and actively contribute as an employee representative for the Joint Health & Safety Committee (JHSC)
- Participate in Social Committee meetings and proactively coordinate office events, social activities, and charitable giving initiatives
- Manage the contractual vendor invoices received pertaining to the restaurant location to obtain appropriate approvals from the Managers

**What You Need To Perform In This Job**
- High school diploma or GED required
- 2-3 years of prior experience in an administrative role
- Proficiency in Microsoft Office
- Excellent verbal and written communication skills
- Ability to manage time efficiently under pressure
- Ability to prioritize and organizes own and others’ work time to meet deadlines and objectives
- Strong problem-solving skills to troubleshoot/resolve employee related issues/requests

**Job Type**: Part-time
Part-time hours: 22.5 per week

**Salary**: $19.00-$22.00 per hour
