This is a Full-time, On-site, Salaried position.

**About The Office/ HR Administrator**:
As Office/ HR Administrator, you will be responsible for managing, organizing, supplementing office and facilities, executive assisting with some office administration, reception duties and Human Resources Administration.

This position will report to the VP of People and Administrative Services.

**What you will be doing in the role**:
1. Office Administration Duties:

- Manage vehicle licensing and renewals (fleet management)
- Manage work mobile phone assets and dispensing with approvals
- Manage incoming visitor sign in and security access, direct calls and inquiries, customer assistance, access card assignment, and mail distribution
- Booking meeting rooms, accommodation arrangements, coordinating refreshments and lunches as needed

2. Facilities:

- Janitorial, Office and Kitchen equipment coordination
- Vendor management - including resolving issues, scheduling, and sourcing
- Ordering and stocking Office, Kitchen, First Aid supplies

3. Employee Wellness and Social:

- Coordinate Employee life event gift baskets
- Assist with coordinating MAD activities, events
- Assist with social committee coordination tasks - include preparing postings and logistics

4. HR Administration Duties:

- Prepare postings, memos, and communications
- Employee facilities assignment and maintenance - lockers, access cards
- Assisting with HR reports
- Update and maintain Fire Emergency roll call lists and authorized operator postings
- Probationary review follow-ups
- Assist with maintaining training recertifications
- Employee requests: Employment confirmation letters
- Maintaining SDS and Health and Safety documents
- Leave of Absence administration, payroll action notices and return to work follow up

5. Recruiting, Onboarding, Offboarding (backup)
- Follow up for selection and assist with employment procedures
- Process all new hire paperwork and exiting documents for payroll
- Conduct New Hire orientation
- Follow up with Managers for completed orientation and training checklists
- Follow up with Supervisors for site orientation and job training
- Probationary review follow-ups and extensions as needed
- Timely execution of all offboarding tasks

6. Other:

- Assist with coordinating excess Trade Shows and Business meetings needs
- Assist with shipping and mailing material or documents via courier
- Assist with special projects and other duties as assigned.
- Able to lift up to 15lbs; may work in hot areas 5%, noise 0%.
- Ensure adherence to Health and Safety as well as active participation in 5S activities in work area.

**What you will bring to the role**:

- A Degree in Business and/or equivalent relevant experience
- At least 2 years’ office administration experience
- 1 - 2 years HR administration experience an asset
- Naturally pleasant interpersonal persona
- Zealousness in finding solutions, attention to detail and closing tasks
- Exceptional planning, time-management, organizational and follow-through skills.
- Experience in manufacturing, aptitude for understanding processes an asset
- Discretion and ability to manage private and confidential information
- Computer aptitude and MS Office skills - Intermediate Excel Skills preferred
- Valid Driver’s license and good driving record required
- Clear Background Checks - Credit and Criminal

**This position works out of our Mississauga, Ontario location. Hours are typically 8:00 am to 4:30 pm.**
