**Job Summary**:
The Sales Operations Coordinator is responsible for managing the full operational cycle of wholesale sales to distributors and retailers within the supplement and health & wellness industry. This role ensures smooth execution of B2B orders, preparation of regulatory and promotional documentation, invoicing, payment tracking, and retail-level support. Acting as the bridge between internal teams and external partners, the coordinator plays a critical role in supporting brand growth in brick-and-mortar retail channels.
**Key Responsibilities**:
**Sales Support & Documentation**
- Prepare and manage all sales-related documents: price lists, line sheets, sell sheets, new item setup forms, promotional calendars, product spec sheets, etc.
- Assist sales reps with presentation materials, sales decks, and retail onboarding kits.
- Maintain up-to-date records of all customer communications and sales documentation.
**Order Processing & Customer Coordination**
- Receive, confirm, and enter wholesale orders from health food stores, pharmacies, fitness retailers, and wellness distributors.
- Track order progress and proactively communicate updates or delays to clients.
- Coordinate closely with logistics to ensure timely and compliant deliveries.
**Documentation & Regulatory Compliance**
- Prepare and maintain product information sheets, compliance documents, COAs (Certificates of Analysis), MSDS (Material Safety Data Sheets), and any required supplement-related certifications.
- Ensure all materials provided to retail partners align with FDA and industry regulations.
**Invoicing & Collections**
- Generate and send invoices per agreed terms.
- Monitor accounts receivable and follow up on overdue payments in coordination with finance.
- Maintain accurate financial records and customer billing histories.
**Trade Marketing & Promotion Execution**
- Coordinate and implement in-store promotions, sampling events, and retail campaigns.
- Distribute point-of-sale materials (shelf talkers, brochures, display stands) to retail partners.
- Track promotional ROI and gather field data for internal reporting.
**Cross-Departmental Support**
- Collaborate with sales reps, supply chain, marketing, and compliance to ensure smooth daily operations.
- Provide field teams with updated product documents, pricing sheets, and promotion calendars.
- Assist in onboarding new B2B clients by ensuring all operational and documentation needs are met.
**Qualifications**:
- Bachelor’s degree in Business, Supply Chain, Nutrition, or related field.
- Strong Excel and ERP/CRM system skills.
- Excellent communication and organizational skills.
- 2-4 years of experience in sales support or operations within the supplement, health, wellness, or CPG industries is preferred.
- Knowledge of industry-specific regulations (e.g. FDA labeling, dietary supplement claims, GMP standards) is preferred

**Responsabilités principales**:
**Support Commercial & Documentation**
- Préparer et gérer tous les documents liés aux ventes : listes de prix, fiches produits, fiches techniques commerciales, formulaires de référencement, calendriers promotionnels, etc.
- Assister les commerciaux dans la création de supports de présentation, argumentaires de vente, kits d’intégration pour les détaillants.
- Maintenir à jour les dossiers clients et la documentation commerciale.
**Traitement des Commandes & Coordination Client**
- Recevoir, vérifier et saisir les commandes en gros provenant de magasins bio, pharmacies, détaillants fitness et distributeurs spécialisés.
- Suivre l’avancement des commandes et informer proactivement les clients en cas de retard ou d’ajustement.
- Collaborer étroitement avec la logistique pour garantir des livraisons conformes et dans les délais.
