**How do you fit in?**

As the Administrative Assistant, you will play a vital role in ensuring our operations are running smoothly through our busiest period of the year. Your task breakdown will be approximately: customer service and receivables (assisting rental customers and doing the necessary paperwork, generating quotes and invoices, and processing payments **(50%)**; shipping parcels **(25%)**, maintaining organization of office and showroom **(25%)**.

**Role & Responsibilities**
- Greet and assist walk-in customers in a friendly and professional manner
- Guide customers through the rental process, including completing necessary forms
- Answer and direct phone calls, providing accurate information or redirecting inquiries as needed
- Prepare customer quotes, invoices & receipts
- Process payments efficiently
- Assist with filing, data entry, and maintaining front office organization
- Ensure the showroom and front office remain clean and presentable
- Provide general administrative support as needed
- Coordinate and organize shipping for customer courier deliveries
- Assist with packing small parts orders
- Assist with other tasks and projects as required

**Knowledge & Skills**
- Professional oral and written communication skills
- Strong attention to detail
- Strong organizational skills
- Ability to multi-task under pressure
- Ability to complete checklists and record work progress
- Ability to read and understand rental, packaging, and safety guidelines
- Must be able to lift up to 30 lbs individually
- Ability to perform basic math
- Ability to work independently and as part of a team

**Education & Experience**
- Customer service experience an asset
- Payment processing experience an asset
- Proven track record of punctuality
- Experience working independently and part of a team an asset
