**Job Summary**

HR/FMD Administration Assistant is to provide support and assistance to Administration and HR, and be the bridge to the Branch personnel for HR, FMD and other Administrative duties.

**Key Duties and Responsibilities**
- Facility Management - work with management to ensure building is kept in good condition including landlord requirements are met
- Safety Management - work with management to ensure facility and employee activities meet or exceed government regulations, also keeping with company objectives, part of Health and Safety committee, participate in accident / injury investigations and submitting injury claim reports to HO and Worker’s Compensation Board
- Supplies/Purchasing - purchase office supplies, forms and other items as required
- Timely response to management and employee inquiries
- Assist with the recruitment and selection process of new hires, posting ads, screening resumes, interviewing, arranging reference checks and criminal background checks
- Organize new hire documentation
- Assist HR / Admin with the presentation of the new hire orientation program
- Assist with employee terminations and conduct exit interviews
- Assist with employee relations, investigations and resolution of complaints
- Coordinate health and safety meetings and follow-up with the Branch Manager
- Conduct regular building inspections, report to HO on any recommended improvements, requirements etc.
- Manage office supplies and ordering of supplies
- Work with Branch Accounting personnel for sharing of documents
- Manage daily mail and courier
- Assist Operation Managers (to be determined in more detail)
- Communication and ad-hoc reporting to head quarters
- Various other administrative tasks that may be required

**Qualifications**
- 1-2 years of experience in a similar role,
- Strong experience with MS Word, Excel, Power point, and payroll programs
- Basic math and accounting skills
- Effective communication, organization and time management skills
- Ability to manage and prioritize multiple tasks
- Ability to remain objective in stressful situations
- High level of sound and independent judgment, reasoning and discretion
- Professional, responsible, and positive work attitude.
- Ability to maintain confidentiality

**Education**
- High school diploma
- College or university degree with a focus in Business Administration and or HR, or a combination of experience and education
